Harlem Children's Zone (HCZ) - a world-renowned education and poverty-fighting organization based in New York - seeks an enthusiastic, dedicated, and mission-aligned CRM Manager Manager to support our Development department.
The CRM Manager will bring a passion for the mission of Harlem Children's Zone: break the cycle of intergenerational poverty with comprehensive, on-the-ground programming that builds up opportunities for children and families to thrive in school, work, and life.
Development Operations CRM Manager
Reporting to the Director of Development Operations, the CRM Manager will perform the critical role of maintaining the Raiser's Edge NXT database and related platforms for HCZ. This position will be responsible for ensuring the integrity and accuracy of donor information in collaboration with the Development Team. The manager will design, build, and deliver custom reports and lists to facilitate the work of the development team. This includes database cleanup, imports, analyzing trends, custom fundraising reports, and records maintenance. The role includes monitoring the integrity of the information contained in the database and determining how to translate data into usable, actionable information for the formation and execution of fundraising strategies and metrics.
Requirements
Essential Duties and Responsibilities:
Database Management:
  • Oversee the daily operation and maintenance of the Raiser's Edge NXT database.
  • Ensure accurate and timely data entry, including donor information, gift tracking, pledges, and fundraising event details.
  • Proactively leads regular database hygiene and maintenance efforts, including duplicate management and periodic audits.
  • Assists in developing written policies, procedures, and training materials for processing and data management.

Reporting & Analytics:
  • Assists with data needs, ad-hoc reports or queries, and financial reports as requested by all departments.
  • Provide insights and recommendations based on data to support fundraising strategies and decision-making.

Gift Processing:
  • Support the processing of donations, including online, offline, and event-based gifts.
  • Ensure timely and accurate acknowledgment and receipt of donations.

Donor Stewardship & Engagement:
  • Manage segmentation and tracking for donor communications, appeals, and acknowledgments.
  • Assist with creating tailored reports for high-level donor meetings, major donor cultivation, and stewardship initiatives.

Training & Support:
  • Provide database training and support for staff members in the Development department.
  • Act as the primary point of contact for any Raiser's Edge NXT-related questions or troubleshooting and provide outstanding customer service to users.

Qualification, Skills and Knowledge Requirements
  • Minimum 3 years of experience working with Raiser's Edge NXT in a non-profit setting.
  • Familiarity with other fundraising tools or CRMs is a plus. Salesforce experience is welcome.
  • Blackbaud Professional Certification preferred.
  • Demonstrated skill in developing queries, reports, and dashboards.
  • Experience importing and exporting data.
  • Ability to troubleshoot and resolve database-related issues independently.
  • Ability to manage multiple projects, competing priorities and challenging deadlines.
  • Strong understanding of fundraising principles and best practices, including gift processing, donor stewardship, and reporting.
  • Detail-oriented with a commitment to data integrity and quality of work.
  • Strong communication and interpersonal skills, with the ability to collaborate effectively with both internal teams and external stakeholders.
  • Experience in training and supporting staff in database usage.
  • Ability to take initiative, work independently and perform as a team player.
  • Proficient with Microsoft Office applications, Word, Excel, Outlook and Teams.
