Position Summary

We are seeking a proactive, detail-oriented Operations Administrative Coordinator to support the Venue Management Team at David Booth Kansas Memorial Stadium. Reporting to the Assistant General Manager of Operations, this role centers on accounting and finance support - processing invoices, tracking departmental spending, coordinating vendor payments, and assisting with event settlements - while also keeping the department organized through scheduling, communications, and administrative coordination. The ideal candidate is collaborative, resourceful, and thrives in a fast-paced live event environment.

This role pays an hourly rate of $22.00 - $25.00

About the Venue

Oak View Group operates David Booth Kansas Memorial Stadium and its conference center in partnership with the University of Kansas. OVG oversees day-to-day operations of the football stadium and conference center and leads bookings for conferences, special events, and concerts. The Gateway District is transforming the north entrance to KU's campus, pairing upgraded football facilities with multi-use, year-round spaces designed to generate revenue for academic programming and student success. Alongside the conference center, the district is planned to incorporate a mix of arts and entertainment, dining, retail, office, and lodging uses that support economic development and the university's academic mission

Responsibilities

Accounting, Finance & Invoicing

  • Processes and tracks invoices, ensuring accuracy and timely payment.
  • Tracks spending across the Venue Management department and support budget monitoring.
  • Partners with Finance on vendor setup, payments, and tracking of invoices
  • Assists with event settlements, reconciling event-related revenue and expenses with Finance.
  • Handles department credit card receipts and tracking/submission.

Vendor & Event Coordination

  • Supports select vendors end-to-end-scheduling appointments, signing off on work, and following up to confirm completion.
  • Sends post-event surveys to clients and compiles responses to support service and quality improvements.
  • Maintains the booking schedule for the conference room and department meeting spaces.

Scheduling & Administration

  • Schedules departmental and cross-departmental meetings.
  • Prepares department communications and documents such as memos, emails, reports, and correspondence.
  • Creates and maintains electronic and physical filing systems.

Office & Department Support

  • Responsible for the department office, including supplies, the break room, computers, storage areas, and decor.
  • Serves as a department administrator for the 24/7 software platform.
  • Supports with the department's employee recognition program.
  • Assists with safety coordination for the department.
  • Performs other duties as assigned.
Qualifications

Required

  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint), with strong Excel skills for tracking and reconciliation.
  • Highly organized and detail-oriented, with the ability to manage multiple projects simultaneously and meet deadlines under pressure.
  • Strong communication skills.
  • Resourceful, adaptable quick learner who takes initiative.
  • High degree of personal integrity and sound judgment, consistently acting in the organization's best interest.
  • Effective collaborator across teams and departments.
  • Availability to work evenings, weekends, and holidays as required by the event and football schedule.
