Rental Coordinator

Job Summary
The Rental Coordinator coordinates the dispatch of personnel and equipment while managing rental operations, including contracts, invoicing, scheduling, and customer communication to ensure timely and efficient service. Supports daily operations by maintaining accurate records, collaborating with internal teams, assisting coworkers, and promoting strong safety practices and customer service.
Essential Functions
  • Coordinate and dispatch personnel and equipment based on schedules, workloads, and customer needs to ensure safe, timely service and delivery.
  • Communicate proactively with customers regarding crew status, including arrival times, lays, or schedule changes.
  • Collaborate with customers and the sales team to coordinate equipment rentals and service needs.
  • Prepare, execute, and manage rental contracts and rental-purchase agreements.
  • Process invoicing for new and recurring rentals and maintain accurate billing records.
  • Schedule and coordinate the delivery and pick-up of rental equipment.
  • Maintain accurate fleet and customer account information.
  • Provide customers with equipment details, including specifications, safety requirements, and proper usage.
  • Support daily operations through clerical duties such as answering phones and processing documentation.
  • Work collaboratively with team members and assist fellow dispatchers as needed.
  • Promote and uphold company safety standards, ensuring compliance with all safety policies and procedures.
Qualifications:
  • High School Diploma or GED
  • Proficiency in Microsoft Office
  • Excellent verbal and written communication skills
  • Basic computer knowledge
  • Ability to work with no direct supervision
  • Some industry-related experience preferred
Typical Physical Activity
While performing the duties of this job, the employee must have the ability to occasionally lift 75 pounds from floor to chest; reach and use the arms with a full range of motion; endure prolonged standing, stooping, kneeling, crouching, and squatting while performing mechanical operations; exert push and pull forces with the arms in order to use various wrenches and tools; endure prolonged forward and overhead arm positions while performing mechanical operations; use hands to grasp hand tools and parts and climb onto and operate equipment.
