Job description

Group Experience Associate (Part-Time)
Department: Marketing & Visitor Experience
Job Title: Group Experience Associate
Job Classification: Part Time, $18/hr
Reports to:Group Experience Manager
Specific Duties & Responsibilities include, but are not limited to:
Assist the Group Experience Team in:
  • Responsible for coordinating group visits, meticulously managing arrival and departure schedules, designing effective welcome and directional signage, and ensuring a streamlined ticket delivery process.
  • Employ strategic sales techniques to upsell Cincinnati Zoo & Botanical Garden offerings to enhance revenue generation.
  • Generate agreements and develop promotional and informational materials to effectively communicate terms and offerings.
  • Ensure all necessary departments are prepared for group arrivals through internal communications before bi-weekly event planning meetings.
  • Serve as the primary point of contact on the day of group events, facilitating communication between clients and internal departments to ensure smooth execution.
  • Support Group Experience Manager with all office administrative duties including, but not limited to, running client payments, invoicing, ticket issuance, online ticket support, and weekly reporting.
  • Provide day-of event assistance for special events as assigned.
  • Oversee the inventory of materials, supplies, and tickets, ensuring efficient management and replenishment as needed.
  • Follow all data entry protocols to maintain an accurate and abbreviated partner database.
  • Troubleshoot, customize, and distribute corporate partner and area hotel program communications.
  • Answer phone calls and emails regarding ticket sales/exchanges, tour groups, birthday parties and events, and general Zoo questions.
  • Provide birthday planning and day-of support when needed.
  • Display excellent customer service skills that support the Zoo's INSPIRED visitor experience philosophy.
  • All other assigned duties.
  • Ability to work a flexible schedule (including holidays, weekends, and evenings) is required. Group events include daytime, evening, and weekends.

Working Conditions/Position Requirements:
  • Employment is seasonal/non-benefited; Variable hours not to exceed an annual average of 30 hours per week.
  • To be considered, candidate must be at least 21 years of age or older.
  • Employment is contingent upon passing a drug & nicotine screen and background investigation.
  • While performing the duties of the job, the incumbent is regularly required to stand, walk, and physically sustain long hours of manual labor.
  • The incumbent will be exposed to outside weather conditions and must be able to lift/move/carry up to 25 pounds without assistance.
  • Must possess a valid driver's license and be insurable to drive a Zoo vehicle. Must have reliable transportation.
  • Must be able to work a schedule that may include evenings, weekends and holidays.
  • Experience in guest services important. Previous event experience a plus.
  • Command of Windows-based software and applications is required. Must have the manual dexterity to use computer mouse and keyboard.
