G-Force Security Solutions, LLC is seeking a reliable and detail-oriented Front Office Administrative Clerk to support daily administrative operations. This position serves as the first point of contact for clients, applicants, and visitors while ensuring efficient coordination of internal office functions.

The ideal candidate is organized, professional, and capable of managing multiple administrative tasks in a fast-paced environment with high accuracy and confidentiality.

What You'll Do

Front Office & Communication

  • Answer and direct incoming phone calls in a professional and courteous manner
  • Greet and assist visitors, clients, and applicants
  • Monitor and respond to general email inquiries
  • Maintain clear and timely communication with internal staff and external contacts

Process Service Coordination

  • Receive incoming process service requests from clients
  • Enter service details into the company’s tracking system (ServeManager)
  • Coordinate assignments with process servers
  • Monitor status updates and follow up as needed
  • Maintain accurate records of service attempts and completions

Recruitment Support

  • Reach out to potential job candidates via phone and email
  • Conduct initial screening questionnaires
  • Schedule interviews and coordinate applicant communication
  • Maintain applicant tracking records and documentation

Administrative & Office Support

  • Perform data entry into scheduling and workforce management systems (e.g., When I Work or similar platforms)
  • Prepare basic reports, spreadsheets, and correspondence
  • Maintain organized filing systems (physical and electronic)
  • Assist with general clerical and administrative tasks as needed
  • Assist with basic payroll preparation tasks, including data entry, timekeeping verification, and administrative support, as directed

Office Maintenance & Operations

  • Maintain the cleanliness and organization of the office environment
  • Order office supplies and manage inventory levels
  • Coordinate the purchasing of routine office needs
  • Assist with mail handling and document management

Human Resources Support (Administrative Only)

  • Provide administrative support to Human Resources as requested
  • Assist with onboarding logistics (e.g., scheduling, document collection, routing forms)
  • Support recordkeeping and document organization for HR files
  • Perform clerical HR-related tasks as assigned
  • This role does not perform independent HR decision-making or confidential HR administration beyond assigned support tasks

Additional Duties

  • Assist with scheduling coordination for staff assignments as needed
  • Maintain confidentiality of sensitive company and client information
  • Perform other administrative duties as assigned by management

Qualifications

Required

  • At least 18 years of age
  • High school diploma or equivalent
  • Strong organizational and multitasking abilities
  • Excellent verbal and written communication skills
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace
