Position Title: Purchasing Assistant
Position Type: In Office (Non-Remote), Full-Time
Location: Waco, TX Area
Pay: Depending on Experience

Job Summary:
The Purchasing Assistant supports procurement operations by assisting with the sourcing, ordering, and tracking of industrial products, materials, supplies, and services required for production and daily operations.
This role ensures timely and accurate processing of purchase orders, maintains vendor communication, and supports overall supply chain efficiency. The Purchasing Assistant works closely with production, logistics, and vendors to ensure materials are available to meet operational demands.
Responsibilities:
  • Creating and processing of purchase orders for industrial materials, supplies, and services
  • Track and follow up on orders to ensure on-time delivery
  • Communicate with vendors regarding pricing, availability, lead times, and order status
  • Maintain accurate purchasing records, including order confirmations, invoices, and receipts
  • Support inventory management by monitoring stock levels and notifying appropriate personnel of shortages
  • Coordinate with production and logistics teams to align purchasing activities with operational needs
  • Assist in resolving discrepancies related to orders, including pricing, quantities, or damaged materials
  • Maintain and update vendor information and pricing within ERP systems
  • Support cost control efforts by identifying pricing discrepancies or savings opportunities
  • Prepare reports related to purchasing activity, order status, and vendor performance
  • Ensure compliance with company purchasing policies and procedures
Qualifications:
  • Experience: Minimum of 3 years of purchasing, inventory control or manufacturing administrative support experience
  • Education: High school diploma or equivalent required; Associate’s degree in Business, Supply Chain, or related field preferred
  • Experience in a manufacturing or industrial environment preferred
  • Experience with ERP systems and purchasing software preferred
  • Proficiency in Microsoft Office (especially Excel and Outlook)
Knowledge, Skills & Abilities:
  • Strong organizational and time management skills
  • High attention to detail and accuracy
  • Basic understanding of purchasing, supply chain operations, and inventory processes
  • Effective communication skills with vendors and internal teams
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong problem-solving skills with the ability to resolve issues efficiently
Physical Requirements:
  • Ability to sit, stand, and move throughout the workday
  • Occasional lifting of office materials or small packages (up to 25 lbs.)
  • Ability to work in environments common to industrial settings (varying temperatures, noise levels, dust, etc.)
Work Schedule:
  • Monday – Friday, 8:00 AM to 4:00 PM
  • Occasional weekend work may be required based on production needs
