Job Summary

Analyzes and supports system activities across Workday and UKG to meet business objectives, including coordinating payroll processing, preparing financial and statistical reports and contributing to system documentation, testing, training, and continuous improvement initiatives to enhance efficiency and accuracy.

Essential Functions

  • All team members are expected to be knowledgeable and compliant with Prisma Health's purpose: Inspire health. Serve with compassion. Be the difference.

  • Payroll Processing & Adjustments: [Operations Team] Manage on-cycle and off-cycle payroll activities, including one-time payments, retro pay, reversals, cancel pays, and ongoing payroll inputs. [Systems Team] Support timekeeping processing activities, including coordinating Payroll Monday tasks such as signoffs, export preparation, and workflow management.

  • Payroll Auditing & Compliance Monitoring: To ensure payroll accuracy, compliance, and policy adherence - [Operations Team] conduct detailed payroll audits (e.g., PTO payouts, high hours, compensation changes, duplicate payments, deceased employees) or [Systems Team] conduct timecard audits (e.g, salary hours, work rules, transfers, leave without pay).

  • Reconciliation & Reporting: [Operations Team] Perform bank reconciliations, ACH validation, settlement tracking, general ledger audits, month-end journal entries, and financial reporting to accounting and external auditors. [Systems Team] assist with timekeeping related custom reporting, data requests and reconciliations (e.g., PEBA, Workers' Comp).

  • System Testing, Projects & Configuration Support: [Operations & Systems Teams] Support system testing (e.g. software release updates, configuration changes) and participate in payroll-related projects and enhancements.

  • Training, Collaboration & Continuous Improvement: [Operations & Systems Teams] Create training materials, job aids, videos, and documentation to enhance knowledge transfer and standardize processes. [Systems Team] Serve as a timekeeping subject matter expert by facilitating timekeeper training sessions, moderating classes, and leading ongoing education initiatives. Lead and contribute to initiatives aimed at improving timekeeping practices, training effectiveness, and overall efficiency.

  • Employee Support, System Support & Issue Resolution: [Operations & Systems Teams] Provide customer service and technical support for payroll, timekeeping, and cross-functional inquiries. [Operations Team] Manage and resolve Workday Help cases, ACH returns, and payroll discrepancies. [Systems Team] Manage and resolve UKG Timekeeping tickets, troubleshoot system issues, and escalate or reassign cases to appropriate alternate UKG module lead (e.g. ITS, Advanced Scheduling, Leaves) when necessary.

  • Data Management, EIB Processing & Cost Allocation Management: [Operations Team] Create, load, and maintain EIB files while managing cost allocations, labor transfers, and grant distributions to ensure accurate payroll inputs, proper financial coding, and regulatory compliance.

  • Compliance, Regulatory & Audit Support: [Operations Team] Fulfill internal and external audit requests, manage escheatment, workers' compensation, and regulatory reporting requirements.

  • Cross-Functional Collaboration, Stakeholder Engagement & Performance Analysis: [Operations Team] Process and review benefit related deductions, arrears, retroactive adjustments, and integrations with vendors and internal systems. [Systems Team] Partner with Internal Audit, HR, and managers to address timekeeping issues and review exceptions while analyzing KPIs and performance metrics to identify trends, drive insights, and implement targeted improvement solutions.

  • Performs other duties as assigned.

Supervisory/Management Responsibilities

  • This is a non-management job that will report to a supervisor, manager, director, or executive.

Minimum Requirements

  • Education - Bachelor's degree in Accounting, Finance, or Management. Masters degree preferred.

  • Experience - Five (5) years of payroll experience. Healthcare experience preferred.

In Lieu Of

  • Bachelor's degree in another field of study may be considered with seven (7) years of payroll, accounting, or finance experience

  • Seven (7) years financial accounting/analyst/payroll experience may be considered in lieu of CPA/CPP requirement.

  • Ten (10) years financial accounting/analyst/payroll experience and a CPP certification may be considered in lieu of a Bachelor's degree

Required Certifications, Registrations, Licenses

  • CPA or CPP

    Knowledge, Skills and Abilities

    • Knowledge and experience with Workday Payroll software and/or UKG Timekeeping software.

    • Account analysis and reconciliation.

    • Presentation/training experience.
