Job Title: Construction Administrative Assistant
Job Type: Full-time 40hrs

Position Summary
The Construction Administrative Assistant supports the project management team by ensuring efficient office operations, maintaining project records, and assisting with project-specific documentation from inception to closeout.

Key Responsibilities

  • Document Control: Prepare, maintain, and file project documents, including contracts, subcontracts, change orders, and purchase orders.
  • Project Support: Track project schedules, update project statuses, and assist with bidding/estimating paperwork.
  • Financial Administration: Code and process invoices, track lien waivers, and manage subcontractor insurance/compliance (COI).
  • Communication: Act as a point of contact for clients, vendors, and subcontractors; answer phones and manage email correspondence.
  • Office Management: Schedule meetings, manage calendars, order supplies, and maintain office organization.
  • Data Entry: Enter new project data into company software (e.g., Buildertrend & CenterPoint).

Required Qualifications

  • Experience: 1–3+ years of administrative experience, preferably in construction.
  • Software: Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Skills: Exceptional organizational, communication, and multitasking abilities.
  • Knowledge: Familiarity with construction documents and terminology.

Preferred Qualifications

  • Experience with construction management software (e.g., Procore, Sage/Timberline).
  • Understanding of lien waivers, COIs, and contract management.

Physical Requirements & Work Environment

  • Prolonged periods of sitting at a desk and working on a computer.
  • Occasional travel to job sites may be required.
