The Role: Vendor Compliance Coordinator

You will play a key part in protecting our vendor relationships and revenue by keeping our Certificates of Insurance, vendor packets, and compliance documentation current, and by ensuring we remain in good standing within every customer's online compliance portal so that payment is never held up on our end.

What You'll Do:
• Manage all Certificates of Insurance (COI), coordinating directly with our insurance agent to obtain, renew, and resolve any coverage or documentation issues to satisfy vendor compliance companies such as NetVendor, Vendor Café & RealPage
• Prepare, maintain, and submit complete vendor packets, ensuring all contracts, certifications, and required documentation are current and accurate
• Enroll and maintain the company's standing within customers' online vendor compliance portals, keeping every requirement up to date
• Manage payments to vendor compliance companies
• Monitor compliance status across the vendor portfolio and proactively resolve gaps, since portal compliance is what keeps payment from customers from being held up
• Work directly with customers to resolve compliance questions or documentation gaps that could otherwise delay payment
• Collaborate with internal teams to identify and resolve vendor and compliance issues as they arise
• Maintain accurate, up-to-date records of vendor documentation, certifications, and compliance deadlines
What You'll Bring:
• High School Diploma or GED equivalent
• 2 or more years experience in vendor compliance, vendor management, or a related administrative/coordination role
• Experience working with insurance agents/brokers or familiarity with Certificates of Insurance a plus
• Strong organizational skills with a high level of attention to detail
• Ability to manage multiple vendor relationships, portals, and deadlines simultaneously
• Strong written and verbal communication skills, with confidence working directly with customers
• Comfortable navigating multiple online vendor and compliance-tracking portals
• Proficiency in MS Office
