Job description

About the Position

We are seeking a highly organized and detail-oriented Accounting Assistant to join our team. This position provides administrative and accounting support to ensure subcontractor compliance and accurate financial documentation for assigned construction and development projects.

The Accounting Assistant will support day-to-day accounting operations through document review, data entry, reconciliations, and coordination with internal teams, subcontractors, and vendors. The ideal candidate is organized, dependable, comfortable working with deadlines, and able to maintain accurate records while managing multiple responsibilities.


What You’ll Do

  • Coordinate and distribute new vendor and subcontractor packets
  • Follow up with subcontractors to ensure the timely completion and return of required documentation
  • Review subcontractor documentation to confirm compliance before entering information into Procore
  • Upload and maintain subcontractor and vendor documentation in Procore and related systems
  • Follow up with subcontractors after contract issuance to obtain required certificates of insurance, licenses, and other project-specific documentation
  • Reconcile company credit card statements and collect supporting receipts and documentation from Project Managers, Project Engineers, Superintendents, and other team members
  • Compile data and prepare reports related to credit card reconciliations
  • Update and maintain customer and vendor records in Sage and Procore
  • Provide clerical and administrative support to the accounting team
  • Maintain accurate, organized, and complete files and financial documentation
  • Support daily accounting operations and special projects as assigned
  • Communicate professionally and effectively with internal teams, subcontractors, vendors, and other stakeholders
  • Utilize Microsoft Word, Excel, Outlook, Adobe, Sage, Procore, and other accounting and collaboration tools
  • Perform other related accounting and administrative duties as assigned


What We’re Looking For

  • 2–5 years of experience in an accounting or administrative support role
  • Prior construction or project-based accounting experience preferred
  • Strong attention to detail and excellent organizational skills
  • Experience with accounting and office software, including Microsoft Excel, Word, Outlook, and QuickBooks
  • Experience with Sage and Procore preferred
  • Strong clerical and administrative skills
  • Professional written, verbal, phone, and email communication skills
  • Ability to manage confidential information with discretion and sound judgment
  • Ability to manage multiple priorities while maintaining accuracy
  • Strong problem-solving skills and the ability to follow established procedures
  • Ability to work independently and collaboratively in a team-oriented environment


Schedule & Work Environment

This is a full-time remote position working Monday through Friday during normal business hours. The position may require a schedule of 8:00 AM–12:00 PM or 1:00 PM–4:30 PM, with the possibility of additional hours based on business needs.

This position requires prolonged periods of sitting and working at a computer, the ability to perform general office functions and move throughout the office environment, and the ability to occasionally lift and carry up to 25 pounds.
