Our client is a highly respected, mission-driven organization that plays an essential role in supporting the local community. They are looking for a Business & Administrative Coordinator to join their team in a full-time, contract-to-hire capacity.

This is a great opportunity for someone who is confident working with payroll, accounts payable/accounts receivable, scheduling, and general administration, but who also enjoys wearing many hats and jumping in wherever needed. You’ll play an important role in keeping the organization’s day-to-day operations running smoothly while supporting a team whose work directly impacts the community.

What You’ll Do

This is a true jack-of-all-trades administrative and business support position. Responsibilities will include:

  • Process payroll and assist with ongoing payroll-related activities
  • Handle accounts payable and accounts receivable entry, monthly financial entries, and general bookkeeping support
  • Coordinate and maintain employee schedules, ensuring appropriate coverage and communicating schedule updates as needed
  • Support onboarding and orientation for new team members
  • Maintain accurate personnel files and assist with employee/benefit-related questions
  • Provide general administrative support across the organization, including filing, data entry, correspondence, and special projects
  • Assist with databases and other cloud-based systems used to manage organizational information
  • Support fundraising initiatives, including payment processing, database updates, and correspondence
  • Assist with website and social media updates as needed
  • Support grant-related activities, including researching opportunities and assisting with applications
  • Help coordinate organizational events, activities, and community initiatives
  • Step into whatever needs to be done; this is a role where flexibility, initiative, and a willingness to help are highly valued!
What We’re Looking For

We’re looking for someone who is organized, dependable, resourceful, and comfortable wearing a lot of different hats.

The ideal candidate will have:

  • Experience with payroll processing and/or payroll administration
  • Experience with AP/AR, bookkeeping, or accounting-related data entry
  • Strong attention to detail and the ability to manage recurring deadlines
  • Excellent organizational and time-management skills
  • Strong computer skills, particularly with Microsoft Office and Excel
  • Experience with QuickBooks Online is highly preferred
  • The ability to work independently while also being a collaborative team member
  • Strong written and verbal communication skills
  • A proactive, “see something that needs to be done and take care of it” mindset
  • The flexibility to shift priorities and take on new responsibilities as organizational needs change

Education: An Associate’s or Bachelor’s degree is preferred, with higher education in Accounting, Business Administration, Finance, Marketing, or a related field being especially beneficial. Equivalent professional experience will also be considered.
