Job description

Self-motivated and highly organized individual in a full-time capacity with excellent communication skills. This position requires team builder and problem solving-solver and embodying a balance between focus and fun. This person will professionally assign Personal Care Aides to MBI clients receiving care in their homes, assist to monitor their performance, and provide support to the personal care aides as needed. The individual is a team player willing to work under supervision and follows the company policy regarding insubordination.  The staffing coordinator will review electronic time sheets for correctness and accuracy and perform other duties in the office as assigned. The staffing coordinator will function as part of a team that includes the billing manager, human resource manager, the Agency clinical team and other support staff. The staffing coordinator is supervised by a staffing Manager as designated by the Director of Nursing. The number of tasks and duties associated with this position is potentially limitless.  

Essential Duties and Responsibilities:  

The statements below are intended to describe the general nature and scope of work being performed in this position.  This is not a complete listing of all responsibilities, duties, and/or skills required.  Other duties may be assigned.

  • Assign Personal Care Aides to clients using the Axxess electronic scheduling system.
  • Monitor the electronic scheduling and alert systems daily to ensure all clients are appropriately staffed and promptly notify the supervisor of staffing shortages while continuing recruitment efforts until coverage is secured.
  • Document daily staffing assignments and record all declined or unaccepted assignments.
  • Review electronic timesheets for accuracy and completeness in accordance with MBI HHA policies and procedures.
  • Provide ongoing and annual supervision, guidance, and support to Personal Care Aides.
  • Collaborate with office staff to coordinate schedules and staff in-service training.
  • Deliver exceptional customer service to clients, caregivers, and other stakeholders by responding to questions and resolving concerns professionally.
  • Instruct Personal Care Aides to discontinue services when directed by the Staffing Manager, HR Manager, Administrator, Director of Nursing, or other authorized clinical staff.
  • Assist the clinical team and provide support with departmental projects and other duties as assigned.
  • Provide backup support to the Payroll/EVV Coordinator as needed.
  • Enter, maintain, and review electronic records to ensure documentation is accurate, complete, and compliant with company policies.
  • Prioritize and manage multiple assignments while maintaining organized records in a fast-paced environment.
  • Demonstrate initiative by identifying problems, implementing solutions, and adapting to changing operational needs.
  • Maintain confidentiality and uphold professional and ethical standards in all interactions.
  • Carry a company-issued telephone and coordinate staffing needs during and after normal business hours, as assigned.
  • Foster a collaborative, respectful, and culturally responsive work environment while working effectively with supervisors and interdisciplinary team members.
  • Coordinate services for elderly and disabled clients to help ensure continuity of care and appropriate staffing.
  • High School Diploma, College Degree Preferred  
  • Strong Communication Skills  
  • Knowledge of HIPAA and Patient record privacy  
  • Working knowledge in Microsoft Office: Word, Excel, Outlook, Access & PowerPoint.
