Job description

Our client, the Hussey-Mayfield Memorial Public Library, has a rare finance team opening!

Job Summary

The Bookkeeper maintains input and output of information records, reconciles the books monthly, and inputs reports to the Gateway platform. This position assists the Finance Manager in maintaining ledgers and various records required by the State Board of Accounts (SBOA) and Department of Local Government Finance (DLGF). This position is in the Zionsville branch of the Hussey-Mayfield Memorial Public Library.

Essential Functions & Responsibility

  • Inputs information into the accounting software, including recording journal entries for payroll, cash receipts, and accounts payable
  • Issues checks for accounts payable at the request of the Finance Manager
  • Manages all credit card activity, including reconciliation of statements
  • Manages cash received at public services areas and reconciles receipts
  • Weekly check and cash deposits
  • Processes payroll and benefits
  • Performs financial support for library administration
  • Prepares reports and financial statements at the direction of the Finance Manager, Director of Operations, and the Executive Director
  • Updates accounting spreadsheets
  • Prepares monthly reports for the Board of Trustees meetings
  • Assists in preparing and filing all required governmental financial reports
  • Coordinates and manages gift and donation funds and grants
  • Assists Finance Manager as directed at verifying information outputs for federal and state reports and payroll registers for accuracy
  • Assists in developing procedures for performance of a variety of financial management duties; writes Standards of Operations for finance procedures
  • Assists with preparing the annual budget and Annual Financial Report
  • Assists with bi-annual audits from the SBOA (State Board of Accounts)
  • Other duties as assigned

Non-Essential Function & Responsibilities

  • Assists with various tasks that contribute to the successful operation of the library
  • Participates in library committees and community events

Education, Work Experience Requirements & Preferences

Required

  • Associate's degree in accounting or finance
  • Experience in public finance for non-profits
  • 3 years minimum of relevant professional experience working in a finance field
  • Proficiency with Windows-based and Microsoft computer systems and electronic bookkeeping
  • Excellent organizational skills

Preferred

  • Blackbaud Financial Edge Software experience
  • Library finance experience
  • Previous experience in payroll preparation and employee benefits

Physical Demands

  • Frequently: reading, writing, standing, sitting for long periods of time
  • Rarely: squatting, climbing, crawling, bending, pushing, pulling, and driving
