Job description

Job Title: Executive Assistant

Location: Farmers Bank of Willards, Willards, MD

Reports To: Chief Executive Officer (CEO) / Chief Financial Officer (CFO)

Position Type: Full Time

Job Summary: The Executive Assistant will provide professional, high-level administrative support to the CEO/CFO, other senior executives, and the Board of Directors. This role involves a wide range of responsibilities that are required to be conducted with confidentiality and discretion, including managing schedules, coordinating meetings, handling correspondence, and performing various tasks to ensure the efficient operation of the executive office and Board functions.

Key Responsibilities:


  • Coordinate and manage all Board functions and provide administrative support to the Directors and Executives, including maintaining the Executive and Board of Directors calendar and events, including scheduling meetings, appointments, and organizing catering when necessary. May also involve coordinating travel arrangements and basic bookkeeping tasks.
  • Attend all Board and Board Committee meetings. Prepare agendas, collect and organize documents for meeting packages, record detailed and effective minutes, facilitate the presentation of information during meetings, and follow up on action items. Responsible for maintaining a schedule of items that are required for presentation to the directors on a recurring and/or regular basis to ensure that all relevant regulatory and compliance requirements are met.
  • Handle incoming and outgoing communications that involve the Board of Directors or Executive Management, including emails, memos, phone calls, and other written correspondence. Disseminate information and act as the point of contact among executives, directors, shareholders and others.
  • Draft, edit, and proofread documents, reports, and presentations. Maintain comprehensive and accurate corporate records, documents, and reports.
  • Maintain the library of company policies and governing documents, including ensuring that all approved updates are properly documented and communicated.
  • Assist in the planning and execution of special projects and initiatives. Conduct research and prepare information to assist the CEO and CFO and other executives in the development of plans, documents, or reports.
  • Assist with the preparation of the Annual Report to Shareholders and planning the Annual Shareholder meeting.
  • Maintain the highest level of confidentiality and discretion in handling sensitive information.
  • Routinely perform a wide variety of support duties.
  • Other duties as directed by the CEO, CFO and the Board of Directors.


Education: Bachelor's degree in Business Administration, Management, or related field preferred.

Experience: Minimum of 3-5 years of experience as an Executive Assistant or in a similar role.

  • This role is typically performed in a corporate office environment, may have option to work remotely.
  • May require occasional travel to other branches or locations.
