Lifetime Companies is seeking an experienced Executive Assistant to become the trusted operational partner to our CEO while supporting the continued growth of our integrated Wealth Management, Tax, and Insurance businesses.

This is far more than a traditional administrative role.

What You'll Do

  • Manage the CEO's complex calendar, meetings, travel, and executive priorities.
  • Protect executive time by anticipating needs, coordinating schedules, and ensuring seamless daily operations.
  • Prepare executive correspondence, presentations, reports, and meeting materials.
  • Maintain accurate bookkeeping across multiple entities using QuickBooks.
  • Process payroll, manage accounts payable and receivable, and reconcile bank accounts.
  • Assist with month-end close and prepare cash flow reporting for leadership.
  • Coordinate administrative operations across Wealth Management, Tax, and Insurance divisions.
  • Manage Microsoft 365 tools including Outlook, Teams, SharePoint, and document organization.
  • Serve as a trusted liaison between the CEO, leadership team, vendors, and business partners.
  • Identify opportunities to improve processes, increase efficiency, and support continued company growth.

What We're Looking ForRequired Qualifications

  • 5+ years of experience supporting a CEO or other C-level executive.
  • Strong experience managing complex executive calendars, travel, and confidential communications.
  • Hands-on QuickBooks experience including bookkeeping, reconciliations, payroll, and general accounting support.
  • Experience with accounts payable, accounts receivable, and month-end financial processes.
  • Advanced proficiency with Microsoft 365 including Outlook, Excel, Word, Teams, and SharePoint.
  • Exceptional organizational, communication, and problem-solving skills.
  • Professional judgment with the ability to handle highly confidential information.
  • Self-starter who thrives with ownership and minimal supervision.

Preferred Qualifications

  • Bachelor's degree.
  • Experience supporting executives within financial services, wealth management, tax, insurance, legal, or other professional services environments.
  • Experience supporting multiple business entities or operating companies.
  • Experience working in entrepreneurial or high-growth organizations.
  • Familiarity with the Entrepreneurial Operating System (EOS).
