Healthcare Operations Coordinator

About the Role

We are seeking a highly organized, customer-focused Healthcare Operations Coordinator to join our growing team. This is a fast-paced office position that plays a vital role in supporting patients, caregivers, referral sources, and internal departments while ensuring exceptional service and efficient daily operations.

The ideal candidate is detail-oriented, enjoys solving problems, communicates professionally, and thrives in a collaborative environment. Previous healthcare experience is preferred but not required. Candidates with strong administrative, customer service, scheduling, or office operations experience are encouraged to apply.

Responsibilities

  • Serve as a primary point of contact for patients, caregivers, referral sources, and healthcare professionals.
  • Coordinate patient intake and onboarding activities.
  • Answer incoming phone calls, emails, and office inquiries in a professional and courteous manner.
  • Maintain accurate electronic records and documentation.
  • Coordinate communication between departments to ensure timely patient services.
  • Assist with customer service concerns and resolve issues promptly.
  • Process referrals, authorizations, and required documentation.
  • Support daily office operations and administrative initiatives.
  • Monitor tasks, follow up on outstanding items, and ensure timely completion of assigned work.
  • Collaborate with leadership to improve operational efficiency and the overall patient experience.
  • Perform other administrative and operational duties as assigned.

Qualifications

  • Excellent communication and interpersonal skills.
  • Strong customer service mindset.
  • Exceptional organizational skills and attention to detail.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Proficiency with Microsoft Office and general computer applications.
