General Summary The HRIS Specialist provides administrative support to the Benefits Administrator and the Human Resources Department. This position requires frequent interaction with employees, retirees, beneficiaries, and the public while performing moderately complex to complex administrative and human resources functions. The incumbent is responsible for responding to employee, retiree, and beneficiary inquiries by phone, email, and in person; interpreting and applying applicable policies, procedures, rules, and benefit guidelines; preparing correspondence; auditing benefit invoices; and processing employee and retiree benefit enrollments, changes, and inquiries.

Additional responsibilities include maintaining and monitoring employee personnel and confidential medical records, performing HRIS data entry and processing employment-related transactions, assisting with employee wellness initiatives, orientation programs, annual open enrollment, and health fairs, preparing and distributing benefit enrollment materials and information packets, conducting research and surveys, performing mathematical calculations related to benefits and HR processes, and completing other duties and special projects as assigned. Requirements and Job Specifications Education Required: H. S.

diploma is required or equivalent and 2-year associate degree or vocational diploma Preferred: Graduation from an accredited 4 year college or university Area of Study (major) Required: Human Resources, Business Administration or closely related Certifications Preferred: N/A License(s): Valid LA driver's license. Years Relevant Work Experience: 4 years' progressive office experience with extensive public contact. Equivalent combination of education and experience will be considered Other Job Specifications: Knowledge of modern office and records management practices, procedures, and protocols, including word processing, spreadsheets, and desktop publishing.

Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint. Extensive experience in database management and the ability to provide introductory training and instruction to end users. Experience managing personnel records while maintaining confidentiality and accuracy.

Excellent written and verbal communication skills. Exceptional organizational and time management skills. Strong customer service skills with the ability to effectively assist both internal and external customers.

Must have attention to detail with the ability to work under pressure and meet multiple deadlines. Ability to instruct and facilitate presentations. Ability to work cooperatively with people at all levels.

Functions and Duties Essential Functions and Duties: Provides administrative support to the Benefits Administrator and Human Resources staff. Responsible for processing a high volume of invoices and interacting with vendors and employees. Reviews all invoices for appropriate documentation and approval prior to payment.

Maintains and monitors employment records, including hard copy files, electronic records, and control documents. Maintains master forms and coordinates updates, redesigns, and reprints, as necessary. Processes HRIS transactions related to employee benefits, payroll administration, and reporting.

Provides exceptional customer service to employees, vendors, and the public. Communicates Human Resources policies, procedures, and benefit eligibility requirements to employees. Assists with verifying administrative invoices, benefit deductions, premium rates, and contractual limitations for accuracy.

Assists with new employee benefits presentations, enrollment, and ongoing benefits consultations. Assists with the annual benefits open enrollment process and coordinates employee wellness sessions. Assists with the administration of employee leave programs, including Family and Medical Leave (FMLA), parental leave, and other applicable leave programs.

Assists employees, staff, and the public in a professional, courteous, and supportive manner. Assists with terminating employee benefits for separating employees. Performs data entry and maintains Human Resources databases.

Prepares correspondence, memoranda, and employee reminders. Prepares and processes invoices for check requests and ACH payments. Prepare new hire packets and onboarding materials.

Compiles data, performs research, and conducts surveys for special projects as needed. Generates HRIS and management reports upon request. Maintains inventory of office supplies and coordinates reordering as needed.
