Hancock Aviation is a top-tier aviation services company specializing in the maintenance, sales, and management of private and corporate aircraft. We operate a growing maintenance facility in Baton Rouge and support a wide range of general aviation and turbine aircraft. As our operation continues to expand, we are seeking a dependable, detail-oriented Office Administrator to support daily business operations.

Job Description

The Office Administrator keeps the front office running and supports the administrative, billing, and recordkeeping functions of the company. This position is the first point of contact for visitors and incoming calls and provides direct support to the Executive Assistant, Customer Experience Manager, and shop leadership. The role suits someone who works accurately without close supervision and takes ownership of getting details right the first time.

Responsibilities
  • Answer and route incoming calls and greet customers, vendors, and delivery personnel

  • Maintain organized digital and physical filing for work orders, invoices, and vendor records

  • Enter and verify data in eBis and QuickBooks Online, including invoices, purchase orders, and receiving records

  • Support accounts receivable, including invoice distribution, statement mailing, and payment posting

  • Process incoming and outgoing mail and coordinate shipping and freight paperwork

  • Maintain office supply and shop consumable inventory and place reorders

  • Assist with customer correspondence and scheduling coordination

  • Support onboarding paperwork and personnel file maintenance

  • Prepare documents, reports, and correspondence as directed

  • Maintain a clean, organized, and professional front office

  • Handle confidential business, customer, and personnel information appropriately

  • Support additional administrative tasks as needed

Qualifications
  • High school diploma or equivalent (Required)

  • Two or more years of administrative, office, or bookkeeping support experience

  • Strong data entry accuracy and attention to detail (Required)

  • Proficiency with Microsoft Office, particularly Outlook and Excel

  • Good verbal and written communication skills and a professional phone manner

  • Ability to prioritize and follow through on multiple tasks without prompting

  • Demonstrated reliability and consistent attendance
