This position is ideal for someone who enjoys working with people, multitasking, and growing into a long-term administrative career.
Position Summary
The Receptionist serves as the first point of contact for clients, subcontractors, vendors, and employees. This individual will ensure the front office operates efficiently while providing administrative support to multiple departments.
There is significant opportunity for advancement into an Administrative Coordinator position based on performance.
Responsibilities
Front Office
Answer and direct incoming phone calls professionally.
Welcome and assist visitors.
Maintain a clean and organized reception area.
Receive and distribute incoming mail and deliveries.
Manage outgoing mail and shipping.
Administrative Support
Schedule meetings and appointments.
Manage conference room calendars.
Assist with filing, scanning, and document organization.
Prepare correspondence, letters, and reports.
Maintain electronic and physical filing systems.
Support executive staff with administrative tasks.
Construction Administration
Assist with project documentation.
Help organize subcontractor documents.
Track certificates of insurance and W-9s.
Upload documents to project management systems.
Assist with bid and proposal preparation.
Help maintain project files.
Office Support
Order office supplies.
Coordinate with vendors.
Assist with onboarding paperwork.
Help maintain office equipment and inventory.
Qualifications
Required:
High school diploma or equivalent.
Minimum 2 years of administrative or receptionist experience.
Excellent customer service skills.
Professional phone etiquette.
Strong organizational skills.
Ability to multitask in a fast-paced environment.
Proficiency with Microsoft Outlook, Word, Excel, and Teams.
Strong written and verbal communication.
Preferred:
Bilingual (English/Spanish).
