This position supports the following disciplines: Group Sales, Catering Sales, Business Travel Sales, Event Management, Group Housing, Marketing.

Assist department managers by performing assigned clerical and administrative duties to ensure comprehensive customer, guest and staff satisfaction. Respond to telephone, electronic and in-person inquiries regarding business opportunities, hotel information and customer concerns. Work collaboratively with department leadership on special marketing, digital, social media, website, partnership, photography and branding deliverables.


  • Generate specific and ongoing daily/weekly reports at the direction of department leadership.
  • Generate, file, collate and organize daily/weekly folders and forms as directed.
  • Process amenities, site tour communications, guest/planner points, certain reservations and other required deliverables.
  • Participate in marketing/branding calls and collaborate on marketing initiatives.
  • Responsible for effectively communicating with the various departments across the hotel.
  • Assist as directed with proposals, contracts, event orders and resumes.
  • Answer department office phones and direct all inquiries accurately, timely and in a professional manner.
  • Represents themselves and the hotel with the highest level of integrity and professionalism, a service focused approach and a caring, sincere attitude at all times.
  • Assist in development and execution of special projects for the hotel including client events, FAM tours, site tours.
  • Display a neat, clean and business-like appearance at all times.
  • All other duties as assigned, requested or deemed necessary by management.

Education/Formal Training

High school diploma and/or vocational secretarial.

Experience

Previous sales, marketing, events, hospitality, and secretarial experience preferred.

Knowledge/Skills

  • Advanced knowledge/use of Microsoft Office applications: Word, Excel, Publisher and PowerPoint.
  • Strong grammatical and editing skills.
  • Excellent speech communication skills necessary to communicate clearly with customers and other departments.
  • Excellent attention to detail and multi-tasking skills.
  • Excellent oral and written communication skills.
  • Detail oriented and organized.
  • Understanding of marketing platforms, portals, and collateral/design (example, Canva).
  • Knowledge of digital media and social media platforms/reporting.
  • Creative team player with strong people skills.

  • Requires sitting most of the time, but does entail walking, standing and carrying of up to 15 pounds short distances.
