Responsibilities:
The AR/AP Accounting Manager is responsible for overseeing the full-cycle accounts receivable and accounts payable functions, ensuring accuracy, timeliness, and compliance with internal controls. This role reports to the controller and currently manages a team of three. We are seeking an individual who can drive process improvements while supporting cash flow management and financial reporting. The ideal candidate is proficient in Microsoft Office, particularly Excel, and has experience with QuickBooks or similar accounting software. An associate degree or higher is required; however, the most important qualification is relevant experience, with 3-5 years in a similar role preferred. While this is a management position, the successful candidate is expected to remain hands-on and actively support the day-to-day AR and AP functions as needed.
Job Requirements:
Accounts Receivable
  • Oversee billing, invoicing, and collection processes.
  • Monitor aging reports and drive collection efforts to minimize open customer payments.
  • Resolve complex billing discrepancies and customer disputes.
  • Manage Shopify processes, payments and reconciliations

Accounts Payable (AP):
  • Prepare work to be accomplished by gathering and sorting documents and related information
  • Manage full-cycle AP process including invoice intake, coding, data entry, approvals, and payments.
  • Ensure timely and accurate vendor Aging reports.
  • Maintain vendor relationships and resolve discrepancies.
  • Monitor and enforce internal controls around disbursements.
  • Implement a credit card receipt process.
  • Completion and Submission of Monthly Sales Tax Returns
  • Completion and Submission of B&O Tax Returns as needed

Leadership & Management:
  • Supervise, train, and develop AR/AP team members.
  • Evaluate weak spots and provide solutions.
  • Allocate workload and ensure team efficiency.

Financial Operations & Reporting:
  • Support month-end and year-end close processes related to AR/AP
  • Reconcile subledgers to the general ledger.
  • Prepare reports on cash flow, aging, and payables.
  • Prepare weekly financial reports for the Controller.

Process Improvement & Compliance:
  • Identify and implement process improvements and automation opportunities.
  • Ensure compliance with company policies, GAAP, and regulatory requirements.
  • Strengthen and maintain internal controls.

Full-Time position requiring 40 - 45 hours per week, Monday to Friday. On-site work located in Robinson Township, PA at our National Operations, Support & Distribution Center.
