Purpose and Scope
The Order Fulfillment Representative plays a critical role in ensuring seamless execution from customer order to delivery. This position bridges customer demand with plant operations, managing order accuracy, inventory, production coordination, and logistics to deliver high-quality products on time. The role requires strong analytical skills, attention to detail, and the ability to collaborate across functions.
Responsibilities
  • Serve as the primary point of contact for customer inquiries related to orders, shipments, and delivery status
  • Manage and maintain accurate customer requirements and orders within SAP
  • Resolve discrepancies between customer orders, contracts, and system data
  • Develop and respond to customer quotations and order-related requests
  • Analyze customer forecasts and translate demand into production requirements
  • Coordinate with manufacturing and materials teams to align production schedules with customer needs
  • Monitor customer schedules and adjust plans to meet changing demand
  • Understand plant capabilities, capacity constraints, and operational limitations
  • Monitor and manage inventory levels to ensure continuity of supply
  • Identify and address supply chain variances and implement corrective actions
  • Support raw material planning, including expediting orders and managing supplier escalations
  • Maintain FIFO practices and monitor obsolete or slow-moving inventory
  • Perform cycle counts and assist with physical inventory processes
  • Coordinate shipments to ensure on-time and accurate delivery to customers
  • Oversee packaging, shipping documentation, and compliance with customer and regulatory requirements
  • Act as the main point of contact for freight carriers and logistics partners
  • Review and optimize transportation costs and shipping methods
  • Conduct ongoing analysis of inventory, delivery performance, and data accuracy
  • Audit and maintain pricing and surcharge data within SAP
  • Identify system, process, or lead-time improvements and partner with cross-functional teams to implement solutions
  • Support audits, reporting, and continuous improvement initiatives
  • Partner with internal teams including Sales, Operations, Materials, Purchasing, and IT
  • Act as a liaison for system, hardware, and process-related issues
  • Provide backup support for the Order Fulfillment and Shipping and Receiving teams as needed

Technical/Functional Skills
  • Strong analytical and problem-solving skills
  • Significant experience with SAP or other ERP system
  • Knowledge of supply chain, inventory management, and production planning concepts
  • Excellent communication and customer service skills
  • Ability to manage multiple priorities in a fast-paced manufacturing environment
  • Intermediate level or above use in Microsoft Office Suite apps (Word, Excel, PowerPoint, and Access).

Education
Minimum Qualifications
High School Diploma or equivalent with five years of experience in materials or supply chain management.
Associates Degree in Business, Supply Chain Management, or related field plus two years of experience in materials or supply chain management.
Previous Job Experiences
  • Direct customer contact experience, in sales or customer service.
  • Experience with plant scheduling.
  • Inventory management and materials flow skills.
  • SAP experience.
  • CORE experience preferred.
  • Knowledge of and ability to comply with forklift certification.
