Executive Office Coordinator

Schedule: Full-Time | Monday - Friday, 8:00am - 5:00pm
Work Location: Onalaska, WI - Building A

Compensation: $20.85 - $24.00/hour (dependent upon experience)

Your Purpose

As our Executive Office Coordinator, you are responsible for creating exceptional first impressions and delivering outstanding service to every team member, visitor, vendor, and guest who walks through our doors.

You'll own the day-to-day workplace experience by ensuring our front desk, shared spaces, hospitality services, administrative operations, and People Operations support run seamlessly. Through organization, professionalism, and genuine care for others, you'll help create a workplace that's welcoming, efficient, and reflective of Dynamic's culture and values.


What You'll Do

  • Provide executive and leadership administrative support, including calendar management, travel coordination, meeting preparation, expense processing, and presentation materials
  • Coordinate meetings, vendor relationships, hospitality services, and workplace resources while continuously identifying opportunities to improve the overall workplace experience.
  • Serve as the primary point of contact by welcoming visitors, managing incoming calls, and creating an exceptional guest experience
  • Coordinate hospitality services, visitor preparation, lobby operations, mail distribution, package handling, and workplace logistics
  • Maintain conference rooms, break rooms, lobbies, office supplies, and shared spaces to create a professional and welcoming environment
  • Support People Operations by assisting with onboarding, offboarding, employment verifications, benefits administration, team member records, and employee communications
  • Prepare new hire materials, recognition items, directories, badges, apparel vouchers, and onboarding resources
  • Coordinate workplace events, engagement activities, recognition programs, lunches, health fairs, profit sharing meetings, and committee initiatives

What You Bring (Briefcase)

Required

  • High school diploma or equivalent
  • 1-3 years of experience in administrative support, customer service, hospitality, front desk operations, office coordination, workplace operations, or a related field
  • Valid driver's license

Preferred

  • Associate's degree in Business, Hospitality, Communications, Human Resources, or a related field
  • Experience supporting workplace operations, executive leadership, People Operations, or event coordination.
