Job description

POSITION OVERVIEW 

The Receptionist serves as the first point of contact for employees, vendors, and all other visitors, creating a welcoming and professional environment that reflects the values of the organization. This position manages front desk operations and provides administrative assistance to the corporate office team as needed. Reporting directly to the HR Director of Talent Management, the Receptionist plays an important role in ensuring smooth communication, operational efficiency, and positive experiences for employees and guests. 

ESSENTIAL FUNCTIONS 

Reception & Front Desk Responsibilities 

  • Greet and welcome visitors, candidates, and employees with professionalism and warmth. 
  • Answer, screen, and route incoming calls in a courteous and efficient manner while following internal protocols. 
  • Monitor and manage the front entry of the corporate building. 
  • Maintain visitor logs and ensure proper check-in/out protocols. 
  • Manage incoming and outgoing mail, deliveries, and courier services. 
  • Maintain a clean, organized, and professional reception and lobby area. 

Administrative & HR Support 

  • Assist with scheduling meetings, orientations, interviews, and training sessions. 
  • Assist as needed to coordinate food orders, meeting supplies, and set up for employee gatherings or events. 
  • Prepare and organize new hire and training folders, ensuring materials are accurate and up to date. 
  • Provide data entry, filing, and document management support for HR functions. 
  • Assist with tracking and maintaining HR documents, files, and records in compliance with company policies. 
  • Assist in completing and coordinating fingerprinting for background check compliance, ensuring all requirements are met in a timely and accurate manner. 
  • Assist with auditing and compliance of the Food Program in partnership with our Compliance Specialist.  

Other Responsibilities 

  • Contribute to a positive, service-oriented workplace by modeling professionalism and confidentiality. 
  • Collaborate with HR team members on special projects or initiatives as assigned. 
  • Perform other related duties to support HR and office operations. 

WORK ENVIRONMENT 
This position requires being onsite at the front desk during standard business hours. The role involves extended periods of sitting, frequent interaction with visitors and staff, and consistent use of phones, computers, and office equipment. The Receptionist is expected to maintain a professional appearance and demeanor at all times. 

QUALIFICATIONS 

  • High school diploma or equivalent required; associate degree or coursework in business/HR preferred. 
  • Previous experience in reception, front desk, or administrative support highly preferred 
  • Strong verbal and written communication skills with a professional demeanor. 
  • Excellent customer service and interpersonal skills; ability to build rapport quickly. 
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook); ability to learn HR systems or databases. 
  • Highly organized with the ability to multitask, prioritize, and adapt in a fast-paced environment. 
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
