Job description

Tampa Law Firm is hiring a Legal Scheduler to join their team. Firm is willing to train on their processes. If you have some legal experience and want to take the next step in your career, this would be a great position to learn all about legal scheduling. In this position you will perform a variety of duties involving the organizing of hearings/court appearances in support of high-volume legal practice.


Responsibilities include, however not limited to: scheduling hearings regarding contested motions, litigation matters, Trials, Motion for Summary Judgment, Mediations and Conciliations; process mail pertaining to hearing dates; preparing and producing routine legal documents; filing court documents electronically; updating vendor programs as well as internal legal software; maintaining calendars for attorneys; and handling routine calls from clients, defendants, opposing counsel and third parties relating to the case.


A moderate degree of creativity, problem-solving and latitude is required. Firm is willing to train and prefers some experience working in a law firm or corporate law department.


Scheduling

 Identify priority hearing requests by reviewing and manipulating excel based report.

 Perform review of court docket and review of file to determine need for hearing.

 Obtain hearing dates either by contacting the court or via on-line scheduling

 Coordinate hearing dates with various parties involved

 Maintain and update attorney calendars with scheduling information

 Maintain and update database with scheduling information, including changes or cancellations

 Update Vendors/Clients with hearing information through websites/emails


Document Production and Processing

 Prepare and process basic legal pleadings and correspondence through computer-generated forms

 File court documents electronically


Mail Calendaring

 Review and process incoming mail pertaining to scheduling

 Prioritizes work appropriately based on needs of attorney and case deadlines

 Update attorney calendars with hearing information

Update database with hearing information

 Forward hearing correspondence/information to appropriate individual

 Determine whether local counsel is needed and update accordingly


File Management

 Review hearing reports to determine whether notes have been appropriately entered and any follow-up is required

 Take action or follow up based upon information generated in work flow reports or queues

 Manage reports in queues and proactively take action and or ensure timely and accurate updates are made

 Request information pertaining to the next process from Client


Communication/Status Requests:

 Daily communication and interaction with clients and team members through emails, vendor software programs, case status reports, and phone calls to ensure client and firm standards are met.

Enter/update/reproject pertinent information using various software programs
