Job description

Job Title: ERP System Administrator

Duty Days: 240 Days

Pay Grade: TE09

Salary Schedule: 
 

Primary Purpose 

The ERP System Administrator serves as the technical and functional owner of the district's ERP platform, currently Frontline ERP: including Finance, Human Resources, Payroll, Recruiting & Hiring, Employee Self-Service, and related business systems. This role ensures system reliability, data integrity, security, compliance, reporting accuracy, integrations, and operational efficiency while partnering closely with Finance, Human Resources, Payroll, PEIMS, Technology, and campus leadership.


Qualifications:

  • Bachelor's Degree and/or equivalent experience related to implementation, support and management of a district-wide ERP system/business systems.
  • Demonstrated competence in administrative software and database systems support, management, setup, maintenance, interfacing to include ERP and other database systems.

Experience: 

  • Minimum 3 years' experience working directly with district-level enterprise level ERP management and support (Frontline ERP experience a plus).
  • Minimum 3 years' experience with maintenance of complex, enterprise-scale client/server systems.
  • Minimum 3 years' experience with report development

  • Ability to develop and maintain systems documentation and end user manuals
  • Ability to work well with various stakeholders at all levels of the district.

Major Responsibilities and Duties: 

1. ERP System Administration

  • Administer and maintain all ERP modules and related enterprise applications.
  • Configure workflows, business rules, security roles, approvals, and system settings.
  • Manage system upgrades, patches, testing, and release validation.
  • Maintain ERP environments including production, test, and training systems.
  • Coordinate scheduled maintenance and downtime communications. 

2. Business Process Optimization

  • Analyze district business processes and recommend ERP improvements.
  • Collaborate with HR, Finance, Payroll, Purchasing, Budget, and other departments to improve operational workflows.
  • Identify automation opportunities to reduce manual processing.
  • Document current-state and future-state workflows. 

3. ERP Security & Compliance

  • Administer role-based security and user access controls.
  • Ensure compliance with:
    • FERPA
    • Texas records retention requirements
    • TEA reporting requirements
    • District cybersecurity policies
    • Internal audit standards
  • Participate in periodic security audits and access reviews.
  • Coordinate with cybersecurity staff on vulnerability remediation and incident response. 

4. Data Management & Integrity

  • Monitor data quality and integrity across ERP databases and integrations.
  • Develop validation rules and exception monitoring processes.
  • Support reconciliation processes between ERP, SIS, payroll, and third-party systems.
  • Maintain data governance standards and documentation.
  • PEIMS and Federal Reporting data quality assurance.

5. Reporting & Analytics

  • Develop and maintain operational, compliance, financial, HR, and executive reports.
  • Supply data for dashboards using tools such as:
    • ABRE Data Warehouse/Dashboard
    • Jaspersoft
  • Support state and federal reporting requirements.
  • Assist departments with ad hoc reporting and data analysis. 

6. Database & Integration Management

  • Support ERP database administration activities in coordination with Infrastructure/Database teams.
  • Develop and maintain:
    • SQL scripts
    • SSIS packages
    • API integrations
    • Automated imports/exports
  • Manage third-party system integrations including:
    • Timekeeping
    • Benefits systems
    • Banking interfaces
    • Identity management
    • Budget systems
    • State reporting systems
  • Troubleshoot failed imports, integrations, and synchronization processes. 

7. Technical Support & Vendor Management

  • Serve as Tier 2/Tier 3 support lead for ERP-related issues districtwide.
  • Oversee ERP ticket triage and escalation processes.
  • Coordinate with ERP vendors on:
    • Support tickets
    • Enhancements
    • Product issues
    • Performance concerns
  • Maintain strong vendor relationships and support accountability. 

8. User Training & Change Management

  • Develop ERP training materials and user documentation.
  • Conduct training sessions for district staff and campus users.
  • Support change management initiatives for ERP enhancements and process changes.
  • Promote adoption of standardized district procedures. 

9. Disaster Recovery & Business Continuity

  • Participate in disaster recovery planning and testing.
  • Ensure backup validation and recovery procedures exist for ERP systems.
  • Support continuity of payroll and financial operations during outages or emergencies. 

10. Strategic Technology Leadership

  • Provide recommendations for ERP modernization and roadmap planning.
  • Assist leadership with technology budgeting and lifecycle planning.
  • Participate in district technology governance committees.
  • Support long-term digital transformation initiatives.

Ability to read, write, understand, interpret, and apply information at a moderately complex level essential for successful job performance; math skills at a college proficiency level; judgement and the ability to process information quickly; learn quickly and follow verbal procedures and standards; give verbal instruction; rank tasks in order of importance; copy, compare, compile and coordinate information and records. Understand how to manage stress and work with frequent interruptions.

Physical Demands/Environmental Factors:

Repetitive hand motions; prolonged use of computers; steady phone interactions; continuous sitting, reaching, and bending. Must be able to lift at least 10 pounds.
