Position Summary

Haulotte Bil-Jax is seeking an experienced Freight, Logistics & Billing Specialist to support our logistics, shipping, and invoicing operations. This position plays a critical role in ensuring customer shipments are executed efficiently, freight costs are managed accurately, and invoices are processed and reconciled in a timely manner. The ideal candidate will possess 3-5 years of freight, logistics, transportation, billing, or supply chain experience and be capable of stepping into a fast-paced manufacturing environment with minimal supervision. This individual will serve as a key liaison between customers, carriers, internal departments, and third-party logistics providers to ensure seamless order fulfillment and accurate financial processing. Essential Duties and Responsibilities
  • Point of contact to proactively communicate delays, exceptions, and delivery updates to internal stakeholders and customers.
  • Investigate and resolve freight-related discrepancies, claims, shortages, damages, and carrier issues using strong problem-solving and customer service skills.
  • Work with Shipping to identify opportunities to improve freight processes, reduce costs, and enhance operational efficiency through a continuous improvement mindset.
Billing & Financial Administration
  • Audit freight invoices, identify discrepancies, and resolve billing issues in a timely and professional manner.
  • Match freight bills against carrier agreements, shipping records, purchase orders, and customer contracts to ensure accurate invoice and cost allocation.
  • Process, reconcile, and validate freight expenses within established timelines while maintaining accurate financial records.
  • Support month-end closing activities by ensuring freight and billing transactions are recorded accurately and completed on schedule.
  • Respond to customer billing inquiries professionally and promptly, demonstrating strong customer focus and communication skills.
  • Maintain confidentiality of customer, carrier, and financial information while exercising ownership and accountability for assigned responsibilities.
Customer & Operational Support
  • Partner collaboratively with Customer Service, Sales, Production, and Shipping teams to ensure accurate and timely order fulfillment.
  • Prepare logistics, freight, and cost-analysis reports for management review and decision-making.
  • Effectively manage multiple priorities and deadlines in a fast-paced manufacturing environment while maintaining accuracy and responsiveness.
  • Proactively identify and implement process improvements that enhance efficiency, reduce errors, improve profitability, and increase customer satisfaction.
  • Serve as a dependable resource for freight, transportation, and billing matters, demonstrating strong teamwork, communication, and problem-solving capabilities.
  • Make an immediate impact on customer satisfaction and operational performance by independently managing freight and billing activities with minimal supervision that enhance efficiency, accuracy, and customer satisfaction.
Qualifications Required
  • Minimum of an Associate's degree in Business, Supply Chain, Logistics, Accounting, or related field, or equivalent work experience.
  • 3-5 years of experience in freight coordination, logistics, transportation, customer service, billing, or supply chain operations.
  • Experience working in a manufacturing environment.
  • Strong understanding of freight terms, transportation modes, and shipping documentation.
  • Experience managing carrier contracts and negotiating favorable freight rates, service levels, and terms.
  • Experience auditing and processing freight invoices.
  • Advanced Excel skills required.
  • Experience using ERP systems. Epicor experience preferred.
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities and meet deadlines with minimal supervision.
