Job description

Pure Ground Ingredients is seeking a dynamic, highly organized Supply Chain Coordinator to support our growing international ingredient supply chain. This role will coordinate demand planning, purchasing, inventory replenishment, international logistics, and supplier relationships. The ideal candidate has hands-on experience importing food ingredients and is comfortable managing multiple suppliers, international shipments, and purchase orders simultaneously.

Key Responsibilities

· Support ongoing demand planning and time-phased material availability reviews, working closely with sales, planning, and operations teams.

· Monitor key inventory positions, stock levels, incoming supply, and replenishment requirements to support customer demand and production needs.

· Coordinate purchasing of spices, herbs, botanicals, and other food ingredients from domestic and international suppliers.

· Request and evaluate supplier quotations and negotiate pricing, lead times, payment terms, and commercial conditions.

· Generate, issue, and maintain purchase orders within the ERP system.

· Own the day-to-day PO lifecycle from creation through supplier confirmation, shipment, receipt, and closure.

· Manage approximately 50–100 open purchase orders and proactively follow up on delivery schedules and potential delays.

· Coordinate the timely arrival of international shipments, primarily ocean freight, including vessel schedules, ports, freight forwarders, and delivery appointments.

· Track and escalate supply exceptions such as delayed shipments, supplier shortfalls, documentation issues, quality holds, and inventory shortages.

· Coordinate required import documentation, including commercial documents, ISF filings, customs clearance, and related shipping documentation.

· Serve as a primary point of contact with freight brokers, customs brokers, suppliers, and logistics partners.

· Maintain strong supplier relationships and communicate proactively regarding forecasts, orders, quality requirements, lead times, and supply risks.

· Identify potential supply disruptions and work cross-functionally to develop solutions.

· Maintain accurate purchasing, shipment, inventory, and supplier information within Odoo ERP.

· Follow company requirements related to food safety, quality, traceability, and regulatory compliance.

· Add basic KPIs around PO aging, on-time delivery, inventory availability, and data/document accuracy.

· Strengthen the requirement for accurate and timely purchasing, inventory, shipment, supplier, and master data in Odoo.

Requirements

  • · Bachelor’s degree in Supply Chain Management, Business, Logistics, International Trade, or a related field.
  • · Experience coordinating international shipments and import logistics.
  • · Purchasing or sourcing experience with spices, herbs, botanicals, food ingredients, or internationally sourced food products is strongly preferred.
  • · Understanding of ocean freight, import documentation, customs processes, and international supply chains.
  • · Experience working within food-industry safety, quality, and compliance standards.
  • · Strong communication, coordination, and organizational skills.
  • · Excellent attention to detail and ability to manage multiple priorities simultaneously.
  • · Strong negotiation and supplier-management skills.
  • · Comfortable managing 50–100 active purchase orders at different stages of the supply chain.
  • · ERP experience (Odoo) preferred, ability to quickly learn and adopt new ERP processes
  • · Strong Excel and general data-management skills.
