We are seeking a highly organized, dependable, and motivated Operations Coordinator to join our team in Ontario, California. This position plays a critical role in supporting daily office operations, shipping logistics, inventory management, customer fulfillment, and cross-departmental coordination.

Position Overview

The Operations Coordinator serves as a central support role between the Office, Warehouse, Customer Service, Sales, and Shipping departments. This individual will be responsible for administrative tasks, order processing, shipping coordination, inventory support and operational follow-through to ensure the smooth execution of daily business activities.


Key Responsibilities

Administrative & Office Operations

  • Maintain a clean, organized, and professional office environment.
  • Maintain office and shipping supplies, submit order requests.
  • Perform data entry, filing, scanning, and document management.
  • Support management with administrative projects and special assignments.

Order Processing & Fulfillment

  • Process customer orders and enter data accurately into company systems.
  • Create and prepare shipping documentation for outbound shipments.
  • Mark orders as fulfilled across selling channels and internal systems.
  • Track shipments and provide shipment updates as required.
  • Coordinate customer will-call orders and maintain associated documentation.

Logistics & Shipping Coordination

  • Obtain and compare freight quotes for LTL and parcel shipments.
  • Coordinate outbound shipments with warehouse staff and freight carriers.
  • Schedule local deliveries, installations, returns, and re-consignments.
  • Serve as a point of contact between internal departments and shipping providers.
  • Monitor shipping supply inventory and submit replenishment requests.

Inventory & Operational Support

  • Assist with inventory tracking and supply management.
  • Maintain organized storage of shipping and packaging materials.
  • Support warehouse and office operations as needed.
  • Identify opportunities to improve efficiency and workflow.

Warranty & Service Support

  • Process warranty replacement shipments and associated documentation.
  • Assist with tracking warranty claims and repair items.
  • Update customer records and internal systems accurately.


Qualifications

  • High School Diploma or equivalent required.
  • Minimum 2 years of administrative, operations, shipping, logistics, or related experience preferred.
  • Strong computer proficiency, including Microsoft Office and web-based software systems.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple priorities simultaneously.
  • Strong written and verbal communication skills.
  • Self-motivated with a strong sense of accountability.
  • Ability to work independently while collaborating effectively with a team.
