Job description

Position Purpose

This position is responsible for directing all tasks and staff involved in producing high-priority department initiatives. This includes identifying resources, creating project plans, managing external vendor relationships, providing status reports to key stakeholders and managing projects to completion. Projects that this role supports include marketing and communications strategies to support Renown’s Strategic Plan, as well as additional high priority initiatives as assigned.

This person acts as an internal project manager for all production jobs, tactics and strategies that are identified in assigned projects. This role acts as a brand ambassador and ensures every tactic is on-brand and meets department quality standards.

The position is responsible to manage timelines, hit milestones and ensure appropriate resources are allocated to meet deliverable goals. They work to collaboratively with department colleagues, service line administrators and clinical staff to ensure high quality marketing strategies are developed and executed.

The Senior Production Specialist reports to the Manager of Marketing, and possesses a high degree of creativity, attention to detail, excellent written and verbal communication skills. In addition, this position is highly proficient at critical thinking and project and time management skills.

This position must have the ability to work early mornings, evenings and weekends on occasion to participate in after-hours production work, events or focus groups.

Nature and Scope

• Manages multiple projects simultaneously, sets priorities, identifies and addresses production problems, meets deadlines and stays within budget

• Coordinates work of department specialists or outside vendors and assigns and manages the status of all tasks related to assigned projects

• Adheres to project agreements and creative briefs and creates effective and efficient project plans with input from strategists, operational leads, and marketing and communications leadership.

• Manages project tasks and removes barriers to meeting goals. Forecasts, identifies risks and proposes mitigation strategies. Effectively communications project expectations to production team. Escalates concerns before a project deadline is impacted.

• Determines project kick off and monitors project milestones with production team. Tracks and reports production hours. Conducts ongoing job status meetings to gather and share information with production team and business partners. Leads project debriefs and implements best practices and improved processes for increasing productivity within the department.

• Positively interact with departments and organization to produce and implement small to large scale project plans.

• Maintain the highest level of marketing strategy, customer service and satisfaction when working with internal and external colleagues.

• Review content produced to serve department objectives to ensure content integrity standards, including tone and style, color usage, image quality and usage, accuracy of messaging, reproduction quality and audience channel customization.

• Possess independent judgement and the ability to prioritize and manage workflow and meet deadlines and budget targets, while handling a variety of details and follow through on projects with accuracy and timeliness.

• Produces regular reports to department leadership to show progress toward goals and evolve strategies.

• Adheres to system and department compliance policies, and any and all applicable laws and regulations.

• Participate in on call rotation.

Ability to read, write, speak, and understand English sufficiently to perform job duties safely and effectively. Experience with creating compelling messages for different target demographics. Bachelor’s degree in Marketing, Communications, Public Relations, Advertising or related field required. Proven experience in a related position may be exchanged for degree.

Experience:

Minimum five years’ experience in Marketing, Advertising, Public Relations, or Communications required; three years of healthcare experience or marketing agency production experience preferred. Strong, demonstrable project management skills and experience required. Experience managing vendors and freelancers required. Ability to coordinate multiple priorities, deadlines and projects required.

License(s):

Ability to obtain and maintain a valid State of Nevada driver's license and ability to pass Renown Health's Department of Motor Vehicle Report criteria.

Must be proficient with Microsoft Office Suite, including Outlook, PowerPoint, Excel, Teams, and Word and have the ability to use the computer to complete online learning requirements for job-specific competencies, access online forms and policies, complete online benefits enrollment, etc. Must be proficient with project management software such as Microsoft project, SharePoint, or agency job production software.
