Job description

Trove Brands is seeking a full-time Production Coordinator to join our in-house creative team. This role will play a key part in supporting the planning, logistics, and execution of commercial shoots and photoshoots for our brands.

We're seeking a resourceful, detail-oriented problem solver who excels in a fast-paced production environment. The ideal candidate has strong organizational skills, enjoys collaborating across teams, and can adapt quickly to the challenges of live production.

This is an in-office position based in Lehi, Utah.

  • Support Producers throughout all phases of pre-production, production, and post-production.
  • Understand commercial production workflows and on-set processes.
  • Assist with building production templates, call sheets, and production books.
  • Provide updates on priorities, schedule status, and crew confirmations.
  • Serve as a proxy for Producers in meetings and communications when needed.
  • Anticipate and communicate production issues, offering proactive solutions.
  • Source, vet, and book freelance cast and crew; maintain crew portfolios, role assignments, and rate documentation.
  • Manage confirmation emails, scheduling, and day-to-day communication with crew and talent.
  • Secure equipment rentals, vehicles, production supplies, and permits as needed.
  • Book travel and accommodations for talent and crew when required.
  • Build and maintain strong relationships with freelance talent, agencies, and vendors to foster a collaborative environment.
  • Assist with location research and provide options to Producers.
  • Assist with production budgets, vendor quotes, and negotiations.
  • Approve and process invoices, timecards, and expenses for freelance crew, talent, and vendors.
  • Draft and manage NDAs, crew deal memos, contracts, and certificates of insurance (COIs).
  • Document and maintain Standard Operating Procedures (SOPs) for production processes.
  • Identify inefficiencies in workflows and propose solutions to enhance operational efficiency.
  • Ensure productions are executed on schedule, within budget, and at the highest creative standard.
  • Support Producers, Art Directors, and Post-Production in ensuring smooth project delivery.
  • Maintain an organized archive of production files and records. to ensure accurate and timely access to information
