Job description

We are looking for a freelance Executive Assistant for a top media & entertainment company hybrid out of their Glendale, CA offices!
  • Pay rate: $30.00-$36.00/hr based on experience
Responsibilities:
  • Schedule meetings, answer phones, make travel arrangements and various other administrative tasks to support the President, Scripted Programming.
  • Review your leader's schedule to build-in time to prep for meetings properly and assist with prep when needed.
  • Read relevant materials so you are completely immersed in the mission of the office and proactively share important information with your leader when necessary for them to know
  • Interface directly with other senior executives and their support teams, your ability to collaborate effectively with individuals at all levels is a crucial aspect of your role
  • Be prepared to adjust and revamp the entire schedule in response to unforeseen situations and resume normal operations once the situation is resolved.
  • Handle extremely confidential, sensitive information, remembering that the Company is a publicly traded company.
Required Qualifications:
  • Exceptional skills in managing/booking the coordination of Travel Arrangements; research hotels that are a close to distance to where the event/offices/meetings, are being held. Including but not limited to trip logistics, itinerary, meeting coordination, and remote support of when executive is out of the office, taking into account time zones, weather delays.
  • Expert using Concur; for Travel requests and Expenses; knowing and understanding the appropriate coding required for each expense/project.
  • Booking Conference rooms on a recurring basis, as needed, to ensure the Execs are able to attend meetings in the same location for each meeting
  • Review your leader's schedule to build-in time for things like thinking and traveling to their next meeting; Understand the layout of the offices for other meetings set up by other teams in order to get the Exec from one meeting to another.
  • Prepare for meetings including setup for large presentations/video conferences with multiplesites;
  • Extensive Calendar Management for 2 Execs; be mindful of meetings already
  • booked/overlapping and time between each meeting - varies by location/time zone Securing security access for leaders (and guests)
  • Undergraduate degree or equivalent work experience.
