This position will report to the Director of Operations and work in conjunction with their counterparts (Office Manager, Leasing, Property Manager, Assistant Property Manger and Company Administrator) to facilitate and execute the daily task operations of the business. The Director of Operations will be responsible for the overall performance of company operations including: systems, processes, operations, marketing and leasing.
MAJOR DUTIES AND RESPONSIBILITIES
Duties may include, but are not limited to:
OPERATIONS
Conduct and/or oversee
Collecting and posting rent payments
Managing resident delinquencies
Process evictions and legal notices
Perform intermediate math and accounting functions.
Maintaining daily, weekly, and monthly reports including accurate reporting of rents and deposits received.
Accurately complete weekly reports
Manage service orders, preventative maintenance and repair activities and work orders within required time frames
Conduct property inspections
Review inspections and manage the estimate, approval and execution of work completion by vendors
Evaluate estimates and bids submitted by vendors for best overall value for required work scope
Manage vendors through the completion of work and inspect finished product
Communicate with counterparts, management, clients and customers with updates and notifications.
Maintain and audit key log, tenant and landlord insurance policies
Assist with training leasing/admin staff
Compose professional correspondence
Manage resident relations and problem resolution.
Conduct all business in accordance with company policies and procedures, Fair Housing, ADA, Fair Credit Reporting Act and all other Federal, State and Local laws pertaining to Single Family & Multi-Family Housing.
Distribute all company or community-issued notices.
Represent the company in a professional manner at all the times.
Establish, maintain and grow positive client relationships, customer relationships, community relationships and industry relationships
MARKETING
Develop and place all marketing materials for units including lockboxes, signs and flyers.
Conduct periodic market surveys, as requested.
Assist in monitoring advertising effectiveness.
Maintain awareness of local market conditions and trends. Contributes ideas for marketing community and improving resident satisfaction.
Update Online and Social Media advertising
LEASING
Conduct and/or Oversee
Walk vacant units to ensure quality presentation.
Ensure Unit is ready for resident to move-in on agreed date.
Draft leases and complete lease signing.
Secure new residents signature(s) on appropriate paperwork prior to move-in.
Orient new residents to Company processes (Online Tenant Portal)
Monitor renewals. Distribute and follow-up on renewal notices.
Perform move-in and move out inspections with residents.
Ensure Successful Tenant Onboarding and Move Out processes
Review Welcome packet with new resident in a timely manner
Facilitate the maintenance of legal records/files.

ORGANIZATIONAL RELATIONSHIP
Reports directly to the Director of Operations. Performs any additional duties assigned by President. Serves as a backup for all team duties. Works with Office Manager, Leasing/marketing department, bookkeeper, staff members of other companies, outside vendors and service providers.
OTHER REQUIREMENTS
Physical requirements: Must be able to perform the physical functions of the position, which may include, but are not limited to: ability to drive to and walk property, including 4 flights of stairs, to complete physical inspections, deliver marketing/resident communications, and show/lease homes. Be able to effectively communicate with prospects, residents, staff, supervisors, vendors, etc. Must be able to lift a minimum of 50 lbs. to facilitate moving office furniture & lifting of supplies as needed.
Experience: Must have at least 4 years Property Management or related experience and knowledge of the greater Atlanta area experience preferred.
Civic Duty, Industry and Community Involvement: Must maintain active membership of NARPM, REALTOR organization is a plus. Membership paid by the company. Knowledgeable and participates in meetings and Calls to Action that affect our industry. Volunteer in our local community through company and/or industry opportunities.
Driving/traveling requirements:
To be considered, you must possess reliable transportation to perform various tasks and errands, including property visits, inspections, showing property to prospects, placing signs and marketing materials at rental properties. Must have proof of liability insurance for same.
Frequent need (30% to 50% of the time) to utilize personal transportation to inspect and lease properties, and company meetings.
