Job description

The Executive Assistant to the CEO provides high-level administrative, organizational, and strategic support to the CEO of a nonprofit organization. This role serves as a trusted partner, managing the CEO's schedule, communications, board activities, special projects, and key stakeholder relationships.
The ideal candidate is highly organized, proactive, discreet, and able to manage competing priorities and sensitive information in a fast-paced nonprofit environment.
Key Responsibilities
  • Manage the CEO's calendar, meetings, travel, and competing priorities.
  • Prepare agendas, briefing materials, presentations, and background information.
  • Draft, proofread, and coordinate executive communications and reports.
  • Screen and prioritize incoming communications and requests.
  • Maintain confidential files and information.
  • Serve as a professional point of contact for staff, board members, donors, community leaders, vendors, and partners.
  • Coordinate Board of Directors meetings, including scheduling, agendas, materials, minutes, and follow-up.
  • Maintain board calendars, governance records, and committee logistics.
  • Support the CEO and Board Chair with communications and special projects.
  • Assist with donor, funder, community, and stakeholder communications.
  • Coordinate donor and partner meetings, events, and leadership activities.
  • Prepare materials for donor and stakeholder meetings.
  • Maintain confidentiality of donor and organizational information.
  • Coordinate CEO-led projects and initiatives.
  • Track deadlines, action items, and follow-up.
  • Conduct research and prepare summaries, reports, and presentations.
  • Coordinate executive travel, expenses, events, retreats, and leadership meetings.
  • Maintain organized electronic and physical files.
  • Support the executive leadership team as needed.

Qualifications
  • Bachelor's degree preferred; equivalent experience considered.
  • 5+ years supporting a CEO, executive, president, or senior leader.
  • Nonprofit, foundation, association, or mission-driven experience preferred.
  • Exceptional organization, time management, communication, and follow-through.
  • Strong attention to detail and ability to manage competing priorities.
  • High level of professionalism, discretion, and confidentiality.
  • Strong interpersonal skills with the ability to work effectively with executives, board members, donors, staff, and community partners.
  • Proficiency with Microsoft Office or Google Workspace.
  • Ability to anticipate needs and work independently with minimal direction.

Preferred Qualifications
  • Experience supporting a nonprofit CEO and Board of Directors.
  • Knowledge of nonprofit operations, fundraising, and governance.
  • Experience with donor databases or CRM systems.
  • Experience coordinating executive-level meetings and events.
  • Strong project management skills.
  • Experience preparing board materials and executive presentations.

Compensation: $35-38/hr
Salary is based on a range of factors that include relevant experience, knowledge, skills, other job-related qualifications.
