Job description

The HR Specialist II - Corporate Accommodations serves as a subject matter expert on disability accommodations and ADA/ADAAA compliance, providing high-level case management support for complex and sensitive cases in a fast-paced, high-volume corporate environment. This role focuses on guiding employees, managers, and HR partners through the accommodations process, ensuring a connected, trusted, and compliant experience while supporting employee retention and effective return-to-work outcomes. Role is 100% remote but must reside in the U.S
Responsibilities
  • Serve as the highest escalation point under operations leadership for complex accommodation case management, providing expert guidance and resolution support.
  • Manage executive and non-executive escalations, ensuring timely, accurate, and empathetic responses to highly sensitive accommodation matters.
  • Handle highly sensitive cases, including HR-for-HR cases and cases involving behavioral health conditions, with discretion and professionalism.
  • Support all new hire nesting activities, including developing and managing nesting plans, conducting new hire audits, and providing coaching to ensure successful onboarding.
  • Report regional trends and opportunities by reviewing quality audit results and identifying areas for mentoring, training, and process improvement.
  • Manage workflow adjustments for the region, including out-of-office procedures and case assignment, to ensure service levels and customer needs are consistently met.
  • Perform regional data analysis to identify trends in case volume, case types, and approval patterns, and recommend training or process enhancements based on findings.
  • Provide training survey feedback and share successful practices to influence decisions and improve outcomes for site stakeholders.
  • Lead return-to-work management efforts by collaborating with leave case managers and disability vendors to ensure effective administration of return-to-work programs.
  • Provide consultation and coaching on accommodation matters to regional HR partners, managers, and employees, helping them navigate complex situations and decisions.
  • Offer information, referrals, and escalated support to employees with medical conditions or disabilities, as well as to supervisors, HR, and other partners to support employee retention.
  • Advocate for the accommodations process by offering ongoing consultative support to site stakeholders and accommodation specialists, emphasizing problem solving and creative solutions.
  • Facilitate escalated communication between employees with disabilities and stakeholders involved in leave of absence, short-term disability, long-term disability, and workers' compensation.
  • Coordinate with disability leave services management and legal partners on escalated and complex accommodation issues as appropriate.
  • Assist HR and department leaders in identifying essential and marginal functions of employee positions to support accurate accommodation and job analysis.
  • Conduct job site analyses as needed to evaluate work environments and identify feasible accommodations.
  • Help employees understand their work restrictions and limitations, as well as their legal rights and responsibilities under applicable laws.
  • Maintain strict confidentiality in all verbal and written communications related to employee health, disability, and accommodation information.
  • Stay current on legislation and national, state, and local issues affecting access and accommodations for employees with disabilities.
  • Document and maintain accurate, up-to-date case records and notes in the case management system and related databases.
  • Assess business unit training needs related to accommodations and disability management, and conduct or support group training sessions as appropriate.
  • Provide professional opinions and documentation regarding actions taken on behalf of employees with disabilities in formal forums such as grievances, arbitration, and depositions when requested.
  • Adhere to internal service level agreements and quality standards, ensuring consistent, high-quality case management and stakeholder support.

Essential Skills
  • Bachelor's degree, or 4+ years of equivalent professional or military experience.
  • At least 3 years of experience in leave of absence, disability case management, ADA/ADAAA accommodations, human resources, or a closely related field.
  • Strong case management experience
  • Working knowledge of federal and state leave and disability regulations, including ADA/ADAAA and FMLA.
  • Demonstrated experience managing cases from initiation through resolution in a case management system.
  • Proven ability to communicate complex information clearly to employees, managers, and HR partners, both verbally and in writing.
  • Demonstrated ability to handle sensitive and confidential information with discretion and professionalism.
  • Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
  • Ability to prioritize and manage a high volume of cases and tasks with minimal guidance in a fast-paced environment.
  • Experience in human resources with a focus on leave of absence, accommodations, and leave laws.
  • Strong communication skills with a customer service mindset and the ability to build trust with employees and stakeholders.
  • Experience in high-volume case management, including complex and escalated cases.
  • Ability to analyze data, identify trends, and translate findings into actionable recommendations.

  • Ability to provide consultative support and coaching to HR partners, managers, and employees on accommodation strategies and best practices.
  • Strong problem-solving skills with the ability to develop creative, practical accommodation solutions that balance employee needs and business requirements.
  • Experience conducting training needs assessments and delivering group training or coaching sessions related to accommodations and disability management.
  • Ability to collaborate effectively with legal, disability leave services, and other specialized partners on escalated cases.

Pay and Benefits
