Job Summary:

Are you organized, detail-oriented, and passionate about helping people?

As our HR Administrative Specialistย you'll be a key resource for employees while ensuring the accurate administration of benefits, leave programs, workers' compensation, time-off requests, and HR systems. You'll maintain employee records, generate reports, support compliance efforts, and help employees navigate sensitive situations with confidence, confidentiality, and empathy.

Responsibilities
  • Fully understand and support Xanterra Mission Statement, Core Values and Culture Pillars.
  • Tracks Time Off Request process in CloudSuite and in Kronos. Provides timely and accurate processing and recordkeeping of all approved vacation/sick pay/bereavement/birthday/paid day off requests as submitted by the departments for employees.
  • Assists managers and employees with information regarding eligibility for leave process, including personal and FMLA leave, STD and ADA process, guides employees through the application process. Reviews LOA/FMLA/ADA requests and makes recommendations to HR Manager and Director regarding approving/denying requests according to Company policy and property precedent. Maintains communication regarding expirations, late premium notices, LOA/FMLA/ADA and Workers Comp. Tracks LOA/FMLA/ADA's and Workers Comp; monitoring leave timelines and return to work statuses.
  • Ensures that HRIS system (CloudSuite) is in alignment with BenefitFocus portal and Kronos. Assists employees with insurance coverage questions and billing inquiries.
  • Handles inquiries, problems, claims, conversions, and insurance transfers from the corporate office, including company to company transfers and ensures entries of the benefit plans are accurate.
  • Upon receipt of term information, compute any vacation payout and payment due or refund for insurance premiums for all separating employees, transfers, and those on Leave.
  • Processes reports (Example: Time Off Requests pay period end retro report for Accounting, Vacation/Sick Reconciliation reports, monthly Employee Reports, LOA/FMLA/ADA and Worker's Comp reports, monitors reports for status changes, Insurance Count Report, Term reports, audit reports and historical reports) as scheduled and/or requested by Accounting, HR Manager or HR Director.
  • Participates in appropriate training to stay current with CloudSuite, HRIS changes/updates. May provide training for HR staff as needed.
  • Assists HR Manager/Director HR as needed with written action notices (WANs), annual reviews, investigations, and unemployment claims.
  • Assists with auditing processes and compliance reporting as required (Example: Core and IMP Reports from Corporate; budget reports and accurately and timely adding or dropping employee from applicable benefits, etc.)
  • Communicates with HR management staff and corporate benefits as appropriate on issues such as accuracy of audits, enrollments, ERISA compliance, coverage changes, and HRIS process changes.
  • Communicates with agencies and employees seeking employment verifications by referring them to in verify portal. May assist employees with how to set up income key and at times may provide more details.
  • Processes medical support orders according to policy under the direction of HR Manager or Director.
  • Assists with scheduling, coordinating annual special events (example: health/wellness, open enrollment, related events, employee appreciation dinner, service awards banquet and employee picnic, etc.).
  • Facilitates Employee special programs. Coordinates presentations by outside vendors to employees as requested.
  • Cross-trains with various administrative positions within department as requested to assist with coverage of responsibilities during an individual's absence.
  • Performs administrative duties such as electronic filing, recordkeeping, copying, faxing, etc.
  • Other duties as assigned.
Qualifications

Minimum Qualifications:

  • Minimum of one-three (1-3) years of direct or previous experience in a related field.ย 
  • Minimum of one year experience auditing reports.
  • Demonstrated proficiency with Microsoft Office applications (Word, Excel, and Outlook).
  • Ability to maintain confidentiality at all times, in all situations.

Preferred Qualifications:

  • Prefer at least one year benefits administration experience, including health plans, ERISA, 401(K).
  • Knowledge and experience with HRIS (preferably CloudSuite).
  • Knowledge and experience with Kronos (Company's timekeeping system).
  • Knowledge and experience with general Human Resources office procedures and best practices.
  • Previous history of positions which require handling of confidential information and/or matters.
  • Presentation skills and experience in a group setting is a plus (remote).
  • Bi-lingual (English/Spanish) language skills a plus.

Physical Requirements:

  • While performing the duties of this job, the employee is constantly listening, hearing, seeing, sitting, twisting, eye/hand coordination, manual dexterity, handling and wrist motion lifting/carrying 10lbs or less.
  • Occasionally standing, walking, reaching outward, reaching above shoulder, climbing, squat/kneeling, carrying, bending, stooping, lifting, pushing, and pulling items weighing up to 50lbs.
  • Will be required to sit for long periods of time and occasionally walk, climb stairs and walk on uneven surfaces.
