The Union Health Center (UHC) is seeking a full-time HR / Payroll Coordinator to join our team!

Background

The Union Health Center (UHC) is an innovative primary and multi-specialty center focused on providing well-coordinated and accessible healthcare. UHC has been providing care to New Yorkers for over one hundred years to union members and their families. The center is built around a team-based model that integrates health coaches and serves a diverse patient population. UHC maintains Primary Care PCMH recognition and is certified as an Article 28 facility.

ROLE SUMMARY:

The Human Resources / Payroll Coordinator assists the Human Resources Director with the implementation of Human Resources and Company policies and procedures. Primarily supporting Payroll and compliance and HR functions across talent acquisition, employee relations, and benefits administration. This position involves managing and maintaining the HRIS system, coordinating employee onboarding and evaluations, and assisting with strategic HR initiatives to foster a positive workplace environment. The Human Resources / Payroll Coordinator will serve as a key point of contact for employees and managers, ensuring HR operations align with organizational goals.

Essential Duties and Responsibilities (Other duties may be assigned)
•    Prepares and processes bi-weekly payroll through Paycom payroll system for approval by HR Director and CEO. Coordinates with payroll provider to ensure accurate payroll processing, Paycom payroll experience preferred.

•    Coordinates full cycle talent acquisition processes including sourcing candidates through ATS platforms i.e. Paycom / Indeed. Job postings, preliminary interviews, background checks, generate offer letters etc. Full cycle employee termination admin process.  

•    Compensation and Classification - Assist with maintaining job descriptions and classification structure. Support wage and salary alignment with internal guidelines as directed. 

•    Coordinates employee onboarding, orientation sessions, and training & development programs. 

•    Performs diversified duties in the processing and monitoring of the employee benefits program. Maintains all benefits / personnel files. Coordinates employees’ benefits programs such as retirement plans, medical and dental plans, life insurance, and LOA’s i.e. temporary & long-term disability programs. 

•    Handles benefit inquiries and complaints to ensure quick, efficient and courteous resolution. Maintains timely dialogue re employees inquiries / request – (2 business days acknowledgement of receipt of an employee request), timely response / resolution of issue, via telephone or email / teams to facilitate proper and complete utilization of benefits for all employees. 

•    In collaboration with the Human Resources Director, coordinates employee evaluation processes and supports performance management initiatives. 

•    Maintain accurate HR / Payroll data entry and records within HRIS systems i.e. maintains time and attendance systems. 

•    Support compliance with employment & labor law regulations including FMLA, OSHA standards, workers' compensation, and retirement in collaboration with HRD. 

•    Assist in “change management” projects related to organization design and workforce management strategies.

•    Facilitate employee engagement / relations efforts by addressing employee concerns and promoting effective communication skills across teams. Strategic member of the Employee Engagement Committee. 

•    Process all bi-weekly, monthly, quarterly and annual reports related to Payroll. In conjunction with the HRD - prepares for external annual Payroll Audits. 

•    Responsible for the HR Accounts Payable function, processing invoices, coding for approval and running reports as required for the HR Dept. 

•    Support conflict management initiatives and contribute to organizational culture development. Emotional Intelligence a must. 

•    Track detailed / relevant HR data to create reports on HR metrics using data collection tools for strategic planning purposes i.e. turnover reports, time to hire etc. 

•    Perform special assignments as directed by the Human Resources Director and/or the Executive Office. 

•    Prepare weekly reports of all tasks status. Use this information to produce weekly / monthly / Annual HR reports as required.

The salary range for this position is $54,000- $64,000, commensurate with experience and qualifications.

The Union Health Center provides a salary range to comply with the New York City law on Salary Transparency in Job Advertisements. Actual salaries depend on a variety of factors, including experience, specialties, historical productivity, historical collections, and hospital/community need. As such, an actual salary may fall closer to one or the other end of the range, and in certain circumstances, may wind up being outside of the listed salary range. The salary range listed is for full-time employment and does not include bonuses / incentive compensation or benefits.

Qualifications / Experience

 -   Must have Two (2) plus years of previous Payroll processing / HR experience 

-    Strong interpersonal, oral, written communication and collaborative skills. 

-    Strong computer skills i.e. Efficient in use of HRIS / Payroll systems (Paycom Payroll experience a plus) and MS suite. 

-    Must be detail oriented. 

-    Works well on own initiative as well as a part of a team. 

-    Ability to maintain confidentiality i.e. respect employees’ privacy.  

-    Ability to act with discretion. 

Education
-    Min AS degree or above preferred (in HR or Business discipline) / High School Diploma with 2-3 years related work experience.

-    SHRM CP certification a plus. 

Physical Demands
This position is sedentary. The HR Coordinator must be able to work on a computer for a minimum of 7 hours per day. Must be able to stand, bend, reach and lift to 10lbs.
