Your Work Matters

The Real Estate Administrator will work closely with the Senior Manager, Lease Administration & Audit to support the operational needs of the department.  Responsibilities include coordination of real estate activities necessary to provide for the timely functions of administration and compliance of the lease including abstraction of all pertinent documents into the real estate management database.  This role serves as a liaison with internal departments (real estate, construction, facilities, accounts payable, legal and operations) as well as landlords and vendors.

You'll Be Successful With:

  • Bachelor’s Degree and 2 years of commercial retail real estate experience and departmental coordination, or an equivalent combination of education and experience sufficient to perform the essential functions of the job, as determined by the company.
  • Proficiency with lease administration software, Lucernex preferred.
  • Strong written and verbal skills.
  • High level of proficiency with Microsoft Office Suite.
  • Attention to detail with high level of organization and follow-up on multiple tasks in a fast-paced environment.

Your Day Consist of:

The functions listed below describe the business purpose of this position.  Specific duties or tasks may vary and be documented separately.  Additional duties may be assigned, and functions may be modified, according to business necessity.

  • Maintain the property tax database and records; ensure data integrity for parcels, assessments, payments, and appeal status.
  • Process property tax payments accurately and on schedule to avoid penalties and interest.
  • Track and collect tenant allowance and construction reimbursements due from landlords; prepare and submit reimbursement packages, monitor outstanding balances.
  • Track lease default notices and manage timely responses to cure or resolve defaults and maintain accurate records of status.
  • Manage elevated maintenance correspondence, including tracking landlord responses through resolution.
  • Monitor, manage, and respond to correspondence in the Lease Administration mailbox, ensuring inquiries are routed to the appropriate party in a timely manner.
  • Abstract lease and governing documents into Lucernex including key dates, maintenance responsibilities, covenants, insurance requirements, financial obligations and terms for all locations in the portfolio. 
  • Reviews documents for compliance and accuracy.
  • Track critical dates for all locations in the portfolio. 
  • Assist as needed with maintenance of the Lucernex contact table including confirmation of ownership changes and the setup of Rent vendors.
  • Assist as needed with Occupancy Cost Audits to ensure compliance with the lease.
  • Provide general administrative support to team.
