Position Overview

We are seeking an organized, dependable, and detail-oriented Legal Secretary for a part-time position in our Addison office. In this role, you will provide critical administrative and transcription support to our attorneys, manage day-to-day office organization, and serve as a reliable point of contact for clients.

Key Responsibilities

  • Dictation & Transcription: Accurate, efficient transcription of legal documents, correspondence, notes, and motions from dictaphone equipment/audio files.
  • Client Reception & Intake: Answer multi-line phone calls promptly, greet arriving clients, answer general inquiries, and accurately record details for incoming case inquiries.
  • Document Preparation: Format, proofread, and prepare standard legal correspondence, notices, pleadings, and court filings for attorney review.
  • Docketing & Scheduling: Maintain office calendars, schedule client consultations, track court dates across local county circuit courts, and manage court appearances.
  • File Management: Organize and maintain both physical and digital case files, ensuring documents, police reports, and court notices are properly indexed.
  • Administrative Support: Handle incoming/outgoing mail, scan and fax documents, collect payments, and manage general office upkeep.

Qualifications & Requirements

  • Technical Skill: Proficiency and comfort in transcribing legal text accurately from a dictaphone or digital dictation system.
  • Experience: Prior experience as a legal secretary or transcriptionist preferred (experience in criminal defense, DUI, or Illinois legal procedure is a strong plus).
  • Typing & Communication: Fast, accurate typing speed with exceptional spelling, grammar, and proofreading capabilities.
  • Software Skills: Proficiency with Microsoft Office (Word, Outlook), PDF software, and general digital office tools.
  • Traits: Strong attention to detail, reliable attendance, excellent organizational skills, and absolute discretion with confidential case matters.

Work Hours & Compensation
