Overview

Timely and accurate processing of documents received by mail and/or electronic upload for the SGWS and other departments within established guidelines.

Primary Responsibilities
  • Scan all documents received and processed by SGWS and all divisions
  • Index (early archiving) all invoices into a proper workflow
  • Prepare documents for late archiving/scanning for Accounts Payable, Inventory Costing, General Ledger, and Supplier billing departments
  • Ensures that all W-9's (Independent contractor tax forms) are scanned and linked to a vendor number
  • Operate data capture technology to import digitized documents into the document management system
  • Make corrections to scanned images as required
  • Support internal and external audit activities, as required, to ensure that auditors are provided with the necessary information to complete their audits timely
  • Open, sort, and stamp incoming mail, and mail out Payable Account checks
  • Print and mail Supplier Billing invoices and statements
  • Perform filing duties, which may include 'purging' and archiving old documents
  • Maintain electronically transmitted supplier s credits/invoices
  • Perform other job-related duties as assigned
Additional Primary Responsibilities
Minimum Qualifications
  • High school diploma or equivalency plus 1-year experience
  • At least 2-5 years of Data Entry environment
  • Excellent interpersonal, customer service, analytical/problem solving, problem management, presentation development, presentation, and communications skills
  • Knowledge and experience with an Imaging System
  • Knowledge of standard Document Management concepts, practices, and procedures
Physical Demands
  • Physical demands include a considerable amount of time sitting and typing/keyboarding, using a computer (e.g., keyboard, mouse, and monitor), or adding machine
  • Physical demands with activity or condition may occasionally include walking, bending, reaching, standing, and stooping
  • May require occasional lifting/lowering, pushing, carrying, or pulling up to 20lbs
