Class: Non-Exempt, Full Time
Hourly Rate: Starting at $26.00/hour + comprehensive benefits
Pay Range: $26.00-$30.00/hour
Hours: 30+ hours/week, M-F, evening and Saturday hours
Location: Family Youth Outreach Program, Satellite Locations
Job Summary: Provide support to Community Health Services Programs (CHS) using various data collection measures to produce accurate tracking, export, and report for BGCGG activity. Assist in invoicing and reporting requirements. Provide assistance, training, coordination of data entry, client file maintenance, and other administrative support to the CHS programs as needed.
Essential Duties and Responsibilities
  • Provide assistance in the process and/or create workflows for data collection and data accuracy
  • Provide assistance in the procedures and processes of the Electronic Health Record System (EHR)
  • Provide assistance to staff in using the EHR system to meet the needs of their program through consultation and meetings
  • Provide assistance with troubleshooting database issues
  • Provide assistance in creating database training documents and safety protocols
  • Provide assistance in ensuring CHS programs and staff are following HIPAA policies and procedures
  • Provide assistance in quality assurance throughout CHS programs
  • Collect, aggregate, and analyze trends performance improvement data for all department procedures with the goal of improving satisfaction and functional outcomes
  • Complete audits for client files, participant surveys, assessments, and documentation
  • Prepare timely and accurate reports that support CHS programs on a monthly, quarterly, and fiscal year basis and/or as needed
  • Promote a productive working environment and provide support to others
  • Create annual data reports for programs and develop user friendly dashboards
  • Assist in the requirements needed for invoicing and data reporting
  • Research and review alternative database solutions
  • Identify processes for billing integration into current workflows
  • Ensure program meets health and safety standards and ensure the safety of all clients
  • Take actions to prevent accidents and respond to injury and signs of illness; ensure emergency procedures are implemented and followed
  • Ensure the front desk has coverage, all clients are greeted when entering the building, and are referred to the correct area
  • Ensure program updates are effectively disseminated and communicated to Community Health Services teams
  • Answer phone calls, check voicemails, complete referral forms, document contact, take messages, and transfer calls to appropriate staff
  • Communicate with customers, employees, and other individuals to answer questions, disseminate or explain information, assist with requests and address complaints
  • Maintain close, daily contact with staff, clients, parents, and supervisors to receive/provide information, discuss issues, explain or interpret guidelines/instructions; instruct, and advise/counsel
  • Use effective communication and maintain a professional tone in written and verbal communication
  • Work professionally and productively with minimum supervision and to take initiative on projects
  • Self-manage and manage priorities without a lot of oversight
  • Prioritize and complete multiple tasks within expected deadlines
  • Work with diverse populations in a culturally competent manner

  • Maintain proficiency in using a variety of computer software applications, specifically, Excel, Word, Publisher, and Outlook

Qualifications
  • Minimum of Bachelor's degree in a related field or Associate's degree with equivalent experience
  • At least one year experience working in the non-profit field with knowledge of database systems
  • At least one year experience with project coordination and management
  • Valid CA driver's license, reliable transportation, safe driving record with at least two years of driving experience, and current automobile insurance required
  • Position may require standing/sitting for extended periods of time, dexterity of hands and fingers to operate office equipment, reaching overhead, above the shoulders and horizontally, bending at the waist; seeing to review and analyze reports, documents or other reports; hearing and speaking to communicate and provide information to others; speaking to be heard before groups of people; position may require to lift, carry, pull or otherwise move objects between 10-20 pounds
