Job description

Under the supervision of the Service Manager, the Service Advisor will be responsible for creating estimates, ensuring that parts are properly added, and processing warranties.  Will be crossed trained to work the service desk and process repair orders for service work and communicate with the technician and customer through completion of the repair, including completion of the invoice. 

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Prepare detailed repair estimates including labor, parts, and shop supplies.
  • Review technician findings and convert diagnostics into customer-friendly estimates.
  • Coordinate with parts and service departments to verify pricing and availability.
  • Update estimates as additional repairs are identified.
  • Maintain accurate records in the dealership management system (DMS).
  • Ensure all estimates comply with manufacturer warranty and company policies.
  • Processes all warranty paperwork to ensure proper documentation and verifying criteria required by factory or distributor
  • Arranges for parts to be shipped to the factory or distributor and resubmits all rejected claims promptly.
  • Reconciles all warranty receivables and works with the accounting department to obtain payments.
  • Maintains all service and customer records as required by the warrantor.
  • Other duties as assigned.

Qualifications: 

  • High school diploma or GED required.
  • Experience in heavy-duty truck, automotive, or equipment service estimating preferred.
  • Knowledge of diesel engines, truck systems, and repair procedures preferred.
  • Ability to read and interpret repair orders, technical manuals, and diagnostics.
  • Strong customer service and communication skills.
  • Proficient computer skills.
  • Strong organizational and multitasking abilities.

Preferred Skills 

  • Experience with dealership or fleet service operations.
  • Understanding of labor guides and warranty procedures.
  • Processing warranty work
  • Attention to detail and accuracy in pricing and documentation.
