Fleet Coordinator I
JOB CLASSIFICATION
Pay grade level: Grade 13
Compensation: $51,153 - $70,337. Compensation will be commensurate with education and experience.

Location: Primarily Main Campus, but any other college location as assigned by the appropriate administrator
SUMMARY
Manage and oversee all aspects of a college fleet program, including vehicle scheduling, maintenance coordination, regulatory compliance, driver qualification, vendor management, and fleet recordkeeping. Ensure fleet safety, operational efficiency, and cost control while supporting drivers, administering training programs, and maintaining vehicle readiness across multiple campus locations.
POSITION DESCRIPTION
  • Coordinate scheduling and usage of college vehicles, golf carts (E-Z Go's), and low-speed vehicles (LSVs).
  • Maintain fleet records, registrations, titles, insurance documentation, and maintenance histories.
  • Manage vehicle key control and checkout/check-in processes.
  • Schedule preventive maintenance and repairs to minimize vehicle downtime.
  • Diagnose basic vehicle issues and perform minor repairs (lights, batteries, etc.).
  • Select and manage repair vendors and parts suppliers
  • Monitor vehicle recalls, safety inspections, and mechanical compliance.
  • Conduct driver's license verification and maintain driver qualification records.
  • Deliver driver training for vans, LSVs, and golf carts.
  • Assist with accident reporting, claims, and insurance coordination.
  • Track fleet assets using wireless/GPS applications.
  • Oversee vehicle cleanliness and sanitization by cleaning the interior and exterior of the vehicles.
  • Provide 24/7 on-call support for fleet-related issues.

KNOWLEDGE, SKILLS, AND ABILITIES
  • Proven effectiveness with Fleet Management, including vehicle maintenance coordination and preventive maintenance planning.
  • Ability to effectively manage vendors and contracts, using excellent organizational and scheduling skills, while adhering to fleet compliance and safety protocols.
  • Ability to verify driver qualifications and provide driver training/instruction as needed for specific or unusual driver experiences
  • Knowledge of accurate reporting of accidents and proper claims management techniques
  • Ability to comply with timely vehicle registration and titling and manage fleet recordkeeping
  • Ability to conduct parts management records, manage budget and cost control of inventory while also updating/managing all GPS and fleet management software.
  • Demonstrated excellent Customer service skills and excellent communication skills, both orally and in writing.

MINIMUM QUALIFICATIONS
  • High school diploma or GED equivalent.
  • Three (3) years of experience managing a fleet, rental, or leased vehicle program.
  • Knowledge of automotive maintenance and repair processes.
  • Familiarity with fleet management software and asset tracking systems.
  • Fleet Management Professional (FMP) certification
  • Must have and maintain a current valid driver's license and a clean motor vehicle record.
  • Strong organizational and administrative skills.

PREFERRED QUALIFICATIONS
  • Associate degree.
  • Driver Safety Certification.
  • Minimum five years managing fleet, rental, or leased vehicle program.
  • Experience with fleet software and maintenance tracking.
  • Experience in setting up a leased fleet program.
  • Experience working with a third-party fleet management vendor.

WORKING CONDITIONS
While performing the duties of this job, the position requires significant climbing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, and repetitive motions. Must regularly lift and/or move up to 25 pounds, frequently lift and/or move up to 50 pounds, and occasionally lift and/or move more than 100 pounds.
WORK SCHEDULE
Monday through Friday 7:00 A.M. - 3:30 P.M. or 8:00 A.M. - 4:30 P.M. Must be able to work a variable schedule/hours to meet operational needs. May require evening and weekend hours, including during inclement weather.
