Job description

As the Data and Invoice Administrator, you will play a key role in ensuring the accuracy, integrity, and timely reconciliation of all invoicerelated discrepancies. As a vital member of the Procurement team, you will help maintain alignment between vendors, internal stakeholders, and Purchase Order requirements to support smooth, ontime payment processing.
This role requires strong attention to detail, investigative problemsolving, and the confidence to communicate clearly with multiple parties to resolve issues efficiently and professionally.

Essential Responsibilities:

  • Administration of the cost controls system and liaison to Accounts Payable department in the resolution of invoicing inquiries.

  • Identification and "cause" audit of matching failures (2-way and 3-way matching)

  • Provides invoice trending data and coordinates remedial activity with Procurement Team and Operations as required

  • Participant in Vendor Management and field communications for Purchase Order adherence

  • Cultivates positive relationships with internal stakeholders and external vendors

  • Detail entry into Purchase Order (JD Edwards) and Invoice (Image Now) systems

Qualifications:

  • High school diploma, post-secondary education in administration or a similar field is an asset

  • Observant with keen problem solving and analytical skills

  • Strong and agile organizational skills that demonstrate the ability to effectively manage and resolve conflicting priorities

  • Proficient in Microsoft programs, Word, Excel, PowerPoint, SharePoint

  • Competence in procurement or accounting systems an asset

  • Enjoys working in a busy fast paced environment

  • Excellent written and verbal communication skills

  • Excellent keyboarding abilities

  • Energetic personality and the ability to multitask

  • Detail oriented and record keeping skills

  • Willing to learn new skills

Work Conditions:

  • This is a hybrid role involving both working from home and attending the office 2-3 days per week

  • This is a 6 month fixed term contract with potential to extend.
