This is an excellent opportunity for an experienced Registered Behavior Technician (RBT) who is ready to take the next step in their career. What You'll DoOffice & Clinic Operations

  • Assist the Office Manager in overseeing the day-to-day operations of the clinic.
  • Ensure the clinic operates efficiently while maintaining exceptional customer service.
  • Welcome and assist clients, families, visitors, and referral partners.
  • Answer incoming phone calls and direct inquiries appropriately.
  • Maintain a clean, organized, safe, and professional clinic environment.
  • Coordinate facility maintenance, office equipment, and supply inventory.
  • Serve as the primary point of contact for clinic maintenance and operational needs.
Staff Leadership & Scheduling

  • Assist with recruiting, interviewing, onboarding, and training new therapists.
  • Create and maintain clinical staff schedules.
  • Coordinate therapist coverage for schedule changes, absences, and emergencies.
  • Maximize utilization of authorized therapy hours by efficiently managing staff schedules.
  • Monitor employee attendance, punctuality, and overall performance.
  • Support employee coaching, engagement, and recognition initiatives.
  • Assist the Office Manager with performance management and staffing decisions.
Client & Family Support

  • Build positive relationships with clients and families.
  • Maintain accurate client schedules, records, and contact information.
  • Ensure families receive all required clinic information and company policies.
  • Support the client intake process and ongoing authorization workflow.
  • Help ensure a positive experience for every family served.
  • Develop relationships with physicians, schools, and community referral sources to help grow the clinic.
Administrative Responsibilities

  • Maintain accurate clinic schedules and employee calendars.
  • Monitor office supplies, therapy materials, and equipment.
  • Support employee timekeeping and scheduling systems.
  • Assist with client authorizations and administrative documentation.
  • Ensure compliance with company policies, HIPAA regulations, and clinic procedures.
  • Communicate important clinic updates to staff promptly and effectively.
Leadership Responsibilities

  • Lead by example through professionalism, reliability, and accountability.
  • Foster a positive, team-oriented work environment.
  • Help implement employee appreciation and engagement initiatives.
  • Support continuous improvement efforts that enhance clinic operations and client satisfaction.
  • Assist with achieving clinic growth goals by supporting recruitment, scheduling efficiency, and outstanding customer service.
  • Complete additional responsibilities assigned by the Office Manager.
Direct Clinical Support

  • Maintain an active Registered Behavior Technician (RBT) certification.
  • Provide direct ABA therapy when necessary to ensure continuity of care during staff absences, emergencies, or unexpected schedule changes.
  • Support clinical staff while maintaining high-quality service delivery and client satisfaction.
QualificationsRequired

  • Active Registered Behavior Technician (RBT) certification in good standing.
  • Strong organizational, communication, and interpersonal skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Excellent customer service and problem-solving skills.
  • Positive attitude with a willingness to lead by example.
  • Ability to work independently while collaborating with multidisciplinary teams.
  • Proficiency with Microsoft Office (Word, Excel, Outlook, and PowerPoint).
  • Ability to learn and use scheduling software, electronic medical record (EMR) systems, and other clinic technology.
  • Ability to successfully pass a criminal background check.
Preferred (Nice to Have)

  • Previous leadership, supervisory, scheduling, or office management experience.
  • Experience with ABA clinic operations.
  • Experience with insurance authorizations and client scheduling.
  • Bilingual (English/Spanish).

Physical Requirements
