Key Responsibilities:

Front Desk & External Relations (Multi-Site)

· Be the welcoming face and voice of Knight Watch, creating a strong and lasting first impression for every visitor, customer, candidate, and guest who connects with our company.

· Take pride in leading the front desk at our Kalamazoo headquarters while helping maintain a consistent, professional presence across our other locations.

· Create lobby and meeting spaces that reflect the very best of Knight Watch—professional, organized, and prepared for high-quality execution.

· Support visitor access, conference room coordination, mail, shipping, and other key front desk needs with the understanding that every detail contributes to a smooth, professional operation.

· Work closely with Sales, IT, and Leadership to help deliver an in-office environment that is seamless, polished, and reflective of the high standard Knight Watch is known for.

Coordination, Communication & Execution

· Coordinate a polished and organized arrival process for guests, candidates, vendors, and new team members, including schedules, room readiness, name badges, and key logistics.

· Manage calendars, logistics, meeting details, and administrative coordination that keep leaders, teams, and visitors organized and set up for success.

· Coordinate meeting and visitor logistics to ensure every interaction is polished, responsive, and well executed.

· Support communication, recognition of moments, and thoughtful details that reinforce connection, culture, and a positive workplace atmosphere.

Events, Meetings & Workplace Support

· Coordinate daily lunch orders and meeting meals with consistency and attention to detail, ensuring they are handled smoothly and professionally.

· Help create memorable onsite and offsite events by coordinating catering, schedules, setup, cleanup, vendors, and thoughtful details that reflect the Knight Watch standard.

· Support celebrations, training sessions, town halls, and customer or partner events with energy and attention to detail, knowing every event influences how Knight Watch is perceived.

· Keep breakrooms, beverages, supplies, and snacks stocked and organized so shared spaces are ready, professional, and well maintained.

Office Operations & Multi-Site Support

· Take pride in creating guest-ready, organized, and polished office spaces across multiple locations, knowing that every detail reflects the Knight Watch standard of excellence.

· Help keep the organization running smoothly by supporting mail, deliveries, and shipping with care, responsiveness, and a commitment to strong day-to-day execution.

· Coordinate office materials, welcome items, event resources, and other key details that help create a seamless and well-run workplace.

· Support Sales and Leadership in ways that strengthen communication, coordination, and presentation—because everything you do helps shape how Knight Watch is perceived internally and externally.
