Summary:
The Administrative Specialist serves as the first point of operational coordination for all incoming mitigation and reconstruction opportunities across the Colorado franchises. This role is responsible for ensuring that every new job is captured, documented, prioritized, and communicated correctly at the time of first contact.
The Intake Specialist supports operational efficiency by ensuring jobs enter the system accurately and completely, allowing Project Managers, Production Coordinators, and Job File Coordinators to execute work without delays caused by missing information or inconsistent documentation.
Primary Duties: 
  • Serve as the first point of contact for new loss calls, referrals, and inbound service requests.
  • Collect and document all required loss information and customer details.
  • Provide customers with clear expectations regarding next steps, response timelines, and inspection scheduling.
  • Ensure all inbound opportunities are logged immediately and accurately.
  • Create new job files in WorkCenter and internal tracking systems.
  • Confirm all required intake information is documented including: Property owner contact information. Insurance carrier and claim information
  • Answer incoming calls and warm transfer to personnel 
  • Provide daily job intake summaries to operations leadership
  • Ensure jobs move from intake to production without administrative delays
  • Weekly office task support or HR assistance
QUALIFICATIONS:
  • 3+ years of complete Administrative Assistant duties and responsibilities
  • High school diploma, degreed or equivalent work experience required
  • Preferred experience includes; Administrative coordination or intake management
  • Restoration, construction, or insurance claim environments
  • Excellent communication skills
  • Strong organizational and communication skills
  • Ability to manage high call volume and task prioritization
  • Strong attention to detail
  • Problem solving and prioritization skills
  • Computer system skills,  Workforce, CRM, Microsoft Excel or tracking tools
  • Ability to work in a fast-paced environment
  • Confidence in coordinating across multiple teams
