Job Description Summary

This position embodies an exceptional customer service experience to the client/colleague/end user in a corporate environment for a global professional services firm. The On-Site Supervising Operating Associate’s primary focus is building relationships with our client while providing important office services support. In this position, you will be responsible for overseeing Mail/Copy/Print services and other office related tasks. ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:

Supervisory Functions:

  • Supervise Office Associates

  • Train staff in work procedures and equipment operation.

  • Assist with new employee orientation.

  • Ensure all employee training (new hire, monthly cross training, etc.) is performed and standard.

  • Administer employee discipline.

  • Administer employee reviews and performance improvement.

  • Resolve staff interpersonal conflicts.

  • Maintain records and files.

  • Prepare and write reports.

  • Conduct periodic quality audits.

  • Maintain volume activity metrics.

Copy Center / Mail / /Reception/Facilities/Office Services Functions:

  • Execute high volume copy machines and performs binding and finishing work.

  • Ensure convenience copiers are working properly, checking for quality via daily inspections. Clear paper jams and informs technicians of specific problems.

  • Perform all repair service on customer copier equipment.

  • Maintain records for management reports and inventories of supplies needed.

  • Distribute office supplies, fax transmissions and mail to company personnel and/or designated drop-off points as required.

  • Calculate charges for jobs performed and maintains some billing logs.

  • Respond to and coordinates all service calls required by customer.

  • May perform filing duties in conjunction with specific customer requests.

  • Report all facilities issues to building management or client vendor.

  • Schedule/Coordinate preventative maintenance and repair work for the office.

  • Submit vendor invoices and create Purchase Orders for all work performed.

  • Greet all visitors in a courteous and professional manner, and ensure all inquiries are managed appropriately. 

  • Advise/direct visitors of which conference room there meeting will take place

  • Inform all visitors of where restrooms and beverage location are located

  • Enter guest names into building’s visitor application.

  • Contact clients to announce their visitor’s arrival so they can be escorted to the proper person/location.

  • Coordinate scheduling for conference rooms in reservation system, including audio visual equipment, catering (via email), room layout, signage, etc. Enter associated work orders into internal ticketing systems.

  • Contact clients to obtain specs for meeting room configurations

  • Enter room reservations and food orders into various ticketing systems as appropriate.

  • Answer phones and direct all calls accordingly.

  • Utilize internal applications and follow up with callers regarding requested information. 

  • Complete daily morning am and pm floor checklists. 

  • Perform daily conference room checks and enter data into analysis document.

  • Must assist in providing services in all service lines in addition to primary role.

  • Other duties, as assigned.

JOB REQUIREMENTS & QUALIFICATIONS:

  • The ideal candidate will have basic Microsoft Office skills, a High School Diploma, or equivalent education.

  • Three years of experience in Office Services / Mailroom supervisory role.

  • Related Print/Copier/fax/Mail/FedEx/postage machine knowledge

  • Must be able to lift up to 50lbs.
