Job description

About This Opportunity
Elite Virtual Assistants (EVA) is a staffing and recruiting firm that partners with businesses nationwide to fill both virtual support roles and direct-hire professional positions.
This opportunity is not a virtual assistant role. This is a direct-hire Paralegal position with one of our law firm clients. The selected candidate will be employed directly by the law firm, with EVA managing the recruitment process.
Position Overview
We are seeking a highly detail-oriented, proactive, and analytical Paralegal to support a growing estate planning and probate practice in a two-attorney firm.
This is a critical role for someone who can manage complex matters, think independently, and provide exceptional client service. This position goes beyond traditional administrative support. You will play a key role in advancing cases, supporting sophisticated planning strategies, and working directly with high-net-worth clients.
This is a hybrid role, and candidates located near Greenwood Village, Colorado are strongly preferred, as occasional in-office presence may be required.
Key Responsibilities
  • Manage probate matters from open to close, ensuring deadlines and filings are met
  • Draft estate planning documents, pleadings, petitions, and related legal documents
  • Assist in preparation of Federal Estate and Gift Tax Returns, including Forms 706 and 709
  • Maintain and analyze asset tables, creditor tables, and financial data
  • Support trust funding, including deeds, assignments, asset transfers, and ownership retitling
  • Coordinate with clients, financial advisors, and other professionals
  • Communicate directly with clients in a professional, empathetic, and responsive manner
  • Identify missing information, anticipate next steps, and proactively move matters forward
  • Assist with business succession planning, real estate transfers, and entity structuring
  • Ensure accuracy, consistency, and high-quality work product across all deliverables
Qualifications
  • Experience in estate planning, probate, and trust administration
  • Strong analytical and mathematical skills, with the ability to work with financial data and spreadsheets
  • High attention to detail with a commitment to producing error-free work
  • Ability to think critically, adapt to changing circumstances, and apply knowledge across matters
  • Strong written and verbal communication skills
  • Comfortable working with high-net-worth clients and sensitive information
  • Ability to work independently while knowing when to seek guidance
  • Located near Greenwood Village, Colorado, or open to a hybrid work arrangement
Technology & Tools
Experience with, or willingness to learn:
  • Microsoft Office Suite, including strong Excel proficiency
  • Practice Panther
  • Monday.com
  • IntakeQ
  • The Form Tool / Doxsera
  • OneDrive and document management systems
  • Legal, tax, and workflow automation tools

This is a highly technology-forward firm, so comfort with systems, automation, and process improvement is essential.
Ideal Candidate Profile
The ideal candidate is:
  • Proactive and solutions-oriented
  • Highly organized and detail-driven
  • Client-focused with strong emotional intelligence
  • Comfortable taking ownership and working with autonomy
  • Curious, growth-minded, and eager to continuously learn
  • Able to anticipate needs and act without constant direction
Compensation & Benefits
  • Competitive compensation aligned with experience
  • Salary range: $85,000-$95,000 annually
  • Billable hours target: 1,300 hours
  • 4 weeks PTO, including 6 sick days
  • Health insurance reimbursement up to $250 per month
  • 401(k) with safe harbor match
What Success Looks Like
First 30 Days
  • Understand firm systems, workflows, and quality standards
  • Begin completing drafting and probate tasks with accuracy
  • Communicate effectively with clients on routine matters
First 60 Days
  • Manage portions of estate planning and probate matters independently
  • Support tax return preparation and asset tracking
  • Proactively identify issues and manage deadlines
First 90 Days
  • Independently manage complex matters with minimal oversight
  • Produce polished, client-ready work
  • Improve efficiency, communication, and overall client service
Why Join This Firm
This is an opportunity to join a collaborative, high-performing law firm where your work directly impacts clients and outcomes. You will be trusted, supported, and given the autonomy to grow while contributing to meaningful, sophisticated legal work.
Again, this is a direct-hire paralegal position with our client law firm, not a virtual assistant role. EVA is assisting with the recruiting and candidate process.
