Financial Operations Coordinator

Location: Philadelphia, PA

Work Arrangement: Hybrid (4 days onsite, 1 day remote)

About the Role

Express Employment Professionals is seeking a Financial Operations Coordinator for a legal/professional services organization in Philadelphia, PA.

This position supports billing operations, cash application, accounts receivable activities, reporting, and financial process administration. The ideal candidate is detail-oriented, analytical, and capable of managing multiple priorities while providing exceptional service to internal and external stakeholders.

Responsibilities
  • Serve as a resource for billing and payment-related inquiries.
  • Research, analyze, and resolve billing discrepancies and account issues.
  • Support client billing processes and ensure compliance with billing requirements and agreements.
  • Assist with write-off reviews, approvals, and documentation.
  • Prepare and analyze financial and operational reports.
  • Monitor reporting variances and recommend corrective actions as needed.
  • Support process improvement initiatives related to billing, collections, and financial operations.
  • Assist with system testing, reporting enhancements, and maintenance of finance-related data.
  • Process and reconcile incoming payments, including ACH, wire transfers, lockbox payments, and checks.
  • Research and reapply payments as necessary to maintain accurate financial records.
  • Respond to inquiries in a timely and professional manner.
  • Participate in special projects and additional duties as assigned.
Qualifications
  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field, or equivalent professional experience.
  • Minimum of 2 years of experience in billing, accounts receivable, cash management, finance operations, or a related role.
  • Strong proficiency with Microsoft Excel, Outlook, and Word.
  • Experience working with accounting, ERP, or financial management systems.
  • Excellent attention to detail and organizational skills.
  • Strong analytical and problem-solving abilities.
  • Effective written and verbal communication skills.
  • Ability to work independently and as part of a collaborative team.
  • Ability to manage competing deadlines in a fast-paced environment.
Preferred Qualifications
  • Experience in a law firm, legal services organization, or other professional services environment.
  • Familiarity with legal billing, e-billing platforms, accounts receivable processes, and client billing requirements.
  • Experience creating and analyzing financial reports.
